About the position

The Payroll Administrator at Harbor Wholesale Foods is a critical role responsible for ensuring that employees are compensated accurately and on time across multiple states on a bi-weekly basis. This position requires a professional level of payroll expertise and involves various responsibilities, including data entry maintenance in HRIS applications, system upkeep, and assisting with payroll-related internal reports. The role is hybrid eligible, requiring the individual to be onsite at the Lacey Corporate offices at least two days per week. The Payroll Administrator will be expected to adapt to the needs of managers when payroll issues arise, ensuring that all payroll processes are executed smoothly and efficiently. In addition to processing payroll, the Payroll Administrator will handle involuntary deductions such as levies and garnishments, investigate and resolve payroll discrepancies, and prepare general ledger entries related to payroll. The role also involves working closely with the payroll provider to ensure timely filing of payroll-related tax reports and preparing payroll reports for management distribution. Compliance is a key aspect of this position, as the Payroll Administrator will assist with 401K audits and statutory compliance audits while maintaining confidentiality regarding sensitive employee information. The ideal candidate will possess a solid understanding of full-cycle payroll processes, particularly in a multi-state environment, and will be knowledgeable about relevant legislation and regulations. Strong communication skills, problem-solving abilities, and time management skills are essential, as is the ability to work independently and collaboratively within a team. The role requires proficiency in Microsoft Office applications and strong keyboarding skills, along with a commitment to applying policies and procedures with empathy and professionalism.

Responsibilities

  • Process multi-state payroll for selected Harbor entities accurately and completely in a timely manner every time.
  • Adaptable to the needs of managers when payroll issues arise.
  • Process involuntary deductions such as levies and garnishments.
  • Investigate and resolve payroll discrepancies.
  • Prepare payroll related general ledger entries.
  • Work with Payroll provider to ensure payroll related tax reports are filed timely.
  • Prepare payroll reports and distribute to management.
  • Assist with 401K audit and statutory compliance audits.
  • Ensure confidentiality rules are followed.
  • Perform other duties as assigned.

Requirements

  • Associate degree in accounting, or 3-5 years of work-related experience in a multi-state corporate environment.
  • 3-5 years' experience with full-cycle payroll understanding, preparation, accounting, and audit payroll software (Paylocity preferred or near compatible).
  • Basic understanding of GAAP and accounts reconciliation.
  • Knowledge of full-cycle payroll with multi-state experience.
  • Solid knowledge of relevant legislation, policies, and regulations.
  • Ability to maintain a high level of confidentiality due to the sensitive nature of the information.
  • Excellent communication abilities with aptitude in problem solving.
  • Skilled in time management and prioritizing tasks and duties, with the ability to work independently.
  • Ability to work well with other employees to foster a respectful and professional work and customer service-based environment.
  • Experience within a team environment with expectations of basic backup into other accounting areas when needed.
