About the position

At Wellesley College, the Payroll Administrator plays a crucial role in ensuring the accurate and timely processing of payroll for the institution. Reporting directly to the Payroll Manager, this position is responsible for managing payroll data from various sources and inputting it into the Workday system. The Payroll Administrator will verify hours worked, overtime rates, and any sick, vacation, or holiday charges for each pay period, ensuring that all payroll information is accurate and compliant with College policies. This role requires a keen attention to detail and the ability to work under tight deadlines while maintaining confidentiality and discretion at all times. In addition to processing payroll, the Payroll Administrator will analyze and review payroll data for accuracy, troubleshoot discrepancies, and respond to inquiries from employees, students, and supervisors regarding payroll-related issues. Familiarity with the College's union contracts is essential, as the Payroll Administrator will set up international employees in Workday and process various payroll inputs, including direct deposits and changes to federal and state taxes. The role also involves maintaining documentation related to payroll deductions and assisting with updates to systems and processes when new rules and regulations are implemented. The ideal candidate will possess a Bachelor's degree and have at least three years of experience in payroll or finance, with additional payroll experience considered in lieu of education. Previous experience with Workday HCM/Payroll is a plus. Strong initiative, effective communication skills, and the ability to uphold strict confidentiality are critical for success in this position. Knowledge of current payroll laws, regulations, and labor union standards is also necessary to ensure compliance with all relevant policies.

Responsibilities

  • Process payroll data from various sources into Workday system to produce and distribute payroll for employees.
  • Verify hours worked, overtime rates, sick, vacation and/or holiday charges for each pay period are accurate.
  • Research and assess incoming payroll information.
  • Analyze reports to reconcile payroll output with incoming payroll data in accordance with department procedures.
  • Familiarize oneself with the College's union contracts.
  • Set up international employees in Workday.
  • Process payroll inputs, such as direct deposits, union dues, child support levies and changes to federal and state taxes in a timely manner.
  • Maintain all documentation related to payroll deductions.
  • Troubleshoot payroll discrepancies for department managers.
  • Resolve any discrepancies in a timely manner.
  • Respond to inquiries from employees, students and supervisors regarding payroll related issues.
  • Troubleshoot system issues as well as problems with tax deductions, leaves, vacation and sick accruals, and other payroll-related matters by researching, reviewing with the payroll team, and responding accordingly.
  • Assist with updates to systems and processes when new rules and regulations are implemented.

Requirements

  • A Bachelor's degree with at least three years of experience in payroll or finance preferred.
  • Additional payroll experience will be considered in lieu of education.
  • Previous experience in Workday HCM/Payroll is a plus.
  • Attention to detail and strong initiative.
  • Ability to work in a fast-paced environment.
  • Effective and courteous communication skills.
