About the position

Join APL as a Payroll and Accounting Clerk to support our finance team, handle payroll, and ensure precise financial records for smooth business operations! The Payroll and Book-keeper associate at APL is responsible for assisting the Finance Manager in all assigned accounting functions, including accounts payable, accounts receivable, payroll processing, insurance enrollments/terminations, and insurance reconciliation. This role is crucial in maintaining the financial integrity of the company and ensuring compliance with all relevant laws and regulations. In this position, you will assist with various accounting duties, such as managing accounts payable by receiving and entering invoices and making timely payments. You will also be responsible for entering credit card transactions and assisting in accounts receivable functions, including invoicing, deposits, and collections. Confirming cash and credit card deposits into the bank and researching any discrepancies in accounting will also be part of your responsibilities. You will conduct reconciliations of all accounts as needed and assist in maintaining and balancing the general ledger accurately and up-to-date. Additionally, you will handle compliance, payroll, and insurance duties, which include enrolling and terminating employees in benefits, processing new hire paperwork, and working with carriers and insurance brokers to ensure compliance with benefits and offboarding requirements. You will notify the insurance broker of new hires and terminations and onboard employees in the payroll system. Processing payroll weekly and bi-monthly while understanding employee/employer law for California and New York is essential. You will interpret and apply HR policies, rules, and regulations to ensure compliance with applicable standards. Administrative support is also a key aspect of this role, as you will provide support for the owners of the company, create and maintain a filing system for all invoices, bills, and company documents, and complete other tasks to run the business efficiently while following company processes.

Responsibilities

  • Assist Finance Manager with accounting duties.
  • Assist with accounts payable, including receiving and entering invoices and making timely payments.
  • Enter credit card transactions.
  • Assist in accounts receivable functions, including invoicing, deposits, and collections.
  • Confirm cash and credit card deposits are made into the bank.
  • Research discrepancies in accounting.
  • Conduct reconciliation of all accounts as needed.
  • Assist with maintaining and balancing the general ledger accurately and up-to-date.

  • Provide support for the owners of the company.

Requirements

  • High school diploma or equivalent is required.
  • Associates degree in accounting is preferred.
  • 2+ years of experience in general accounting, including accounts payable, accounts receivable, inventory, and account reconciliation is required.
  • Direct experience with QuickBooks Desktop & Payroll processor, Gusto, preferred.
  • Intermediate knowledge of spreadsheets and formulas to record financial data.
  • Intermediate knowledge of MS Excel and basic MS Office.
  • Demonstrated numeracy and basic mathematical skills.
  • Strong attention to detail for handling the company's financial data.
  • Proficient skills with QuickBooks, accounting GAAP principles, and general office skills.
  • Experience in payroll and compliance.
  • Ability to work independently.
  • Ability to multitask and complete jobs in a timely manner.

Nice-to-haves

  • Experience with payroll processing software other than Gusto.
  • Knowledge of additional accounting software or tools.
  • Experience in a retail or e-commerce environment.
