About the position

The Payroll and Accounting Coordinator at the WMU Homer Stryker MD School of Medicine (WMed) plays a crucial role in the Accounting Department, which is known for its supportive environment and clear career advancement opportunities. This position is responsible for processing payroll for employees of WMed and related organizations, ensuring that all payroll-related activities are conducted accurately and efficiently. The coordinator will maintain records, file reports, and complete payments for all payroll disbursements, including payroll taxes and various deductions. Additionally, the role involves documenting and updating procedures, as well as preparing special reports for management as needed. In this position, the Payroll and Accounting Coordinator will enter, correct, and verify payroll information in the payroll system, resolve discrepancies in collaboration with Human Resources, and maintain confidentiality regarding payroll operations. The coordinator will also validate the identity and bank account information of payees to mitigate financial risks. Timely submission of employee direct deposits and benefit vendor ACH payments is essential, along with generating and mailing manual checks for payroll and benefits. The coordinator will prepare and submit federal, FICA, and state income tax deposits, ensuring compliance with all payroll tax regulations. The role also encompasses banking functions related to vendor bill payments and employee expense reimbursements, requiring participation in the development and implementation of accounting policies aimed at enhancing efficiency. The coordinator will verify electronic documents related to employee profiles, respond to inquiries regarding payroll checks, and manage orders for office supplies. The position may require occasional overtime on weekends or evenings to meet deadlines for time-sensitive projects. Overall, the Payroll and Accounting Coordinator is expected to acquire knowledge of new technologies and policy revisions while performing other duties as assigned.

Responsibilities

  • Perform all activities necessary to process payroll for WMU School of Medicine and related organizations.
  • Enter, correct, and verify payroll information in the payroll system.
  • Resolve payroll discrepancies by collecting and analyzing information in coordination with Human Resources.
  • Maintain employee confidence and protect payroll operations by keeping information confidential.
  • Perform validation of a payee's identity and bank account information before initiating transactions.
  • Ensure timely submission of employee direct deposits and benefit vendor ACH payments.
  • Generate and mail employee and vendor manual checks related to payroll and payroll benefits.
  • Prepare and submit federal, FICA, and state income tax deposits, employer contributions, and special allowances.
  • Communicate court orders for levies and garnishments to employees and prioritize deductions in the payroll system.
  • Ensure payment of benefit plan premiums to providers.
  • Process vendor bills and employee expense reimbursements weekly using various payment methods.
  • Participate in the development and implementation of accounting policies and procedures.
  • Verify all related electronic documents are included on individual employee profiles.
  • Answer calls/correspondence related to payroll checks.
  • Process, place, and complete orders for non-stock office, medical, printing, and other supplies as assigned.
  • Process storeroom transfers as assigned.
  • Work occasional overtime on weekends or evenings to complete time-sensitive projects.
  • Acquire knowledge for new technology and policy/procedure revisions.
  • Perform all other duties as assigned.

Requirements

  • Associate's degree in accounting plus a minimum of three years accounting/bookkeeping experience in a general office environment.
  • Experience in payroll operations and automated timekeeping systems.
  • Advanced knowledge of personal computing systems and basic to advanced knowledge of accounting software packages including Excel or other spreadsheet programs.
