About the position

The Payroll and Accounts Payable Specialist is responsible for managing payroll processes and accounts payable functions within the organization. This role is essential for ensuring accurate and timely payroll processing while maintaining efficient accounts payable operations. The ideal candidate will demonstrate strong analytical skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.

Responsibilities

  • Enters and maintains information in the payroll system, including employees' hourly rates, salaries, commissions, bonuses, time worked, paid leave, deductions, and address changes.
  • Ensures proper processing of payroll deductions for taxes, benefits, and other deductions.
  • Reconciles payroll to the general ledger and monthly bank statements.
  • Issues or reissues physical or replacement checks or direct deposits due to payroll errors or final discharge.
  • Records and processes federal and state payroll tax deposits.
  • Receives and verifies expense reports; reconciles expense and other financial reports with account balances.
  • Facilitates payment of vendors, including verification of federal ID numbers and resolving discrepancies.
  • Ensures outstanding obligations are credited upon payment and identifies discount opportunities.
  • Assists with accounting records and ledgers by reconciling monthly statements and transactions.
  • Records entry of, verifies documentation for, and distributes petty cash.
  • Calculates and reports sales tax based on paid invoices.

Requirements

  • High school diploma or equivalent required.
  • Two years of experience in accounting or bookkeeping with at least six months of experience in payroll preferred.
