About the position

The Payroll and Benefits Clerk at Kagome Foods, Inc. plays a crucial role in administering payroll and health and welfare benefit plans. This position involves assisting with leaves of absence, COBRA, and addressing employee benefit issues. The clerk will work closely with the HR Supervisor to resolve personnel issues related to payroll and ensure compliance with government and company reports. The role also requires a strong understanding of food safety and quality management systems, as the clerk is responsible for reporting any food safety issues observed during their duties. In this position, the clerk will oversee the time clock computer system, maintain time sheets, and approve adjustments based on approved timesheets with the HR Supervisor's review. They will input payroll changes, maintain accurate records of payroll processing, and process bi-weekly management payroll for Kagome Foods. The clerk will also review payroll preview reports for accuracy and oversee paycheck distribution. Additionally, they will manage employee records, assist in audits, and administer employee benefits, including tracking sick/vacation days and preparing evaluation packets. The Payroll and Benefits Clerk will assist employees with various HR-related issues, including requests for time off and benefit inquiries. They will keep up to date with federal and state wage and hour laws, prepare reports for audits, and assist with benefits reconciliation. The role requires strong interpersonal and communication skills, as the clerk will interact with internal contacts such as HR managers and external contacts including governmental agencies and insurance representatives. The ideal candidate will have a high school diploma or equivalent, with some college coursework preferred, and must possess a Fundamentals of Payroll certification. A Professional in Human Resources (PHR) certification is preferred, along with three years of related human resources experience, particularly in payroll and benefits administration.

Responsibilities

  • Review time clock computer system and oversee maintenance of time sheets.
  • Approve/make adjustments to the payroll system from approved timesheets with HR Supervisor's review.
  • Oversee labor reporting of hours worked and wages paid.
  • Input payroll changes such as salary, exemptions, garnishments, direct deposit, and deductions for each employee.
  • Maintain accurate and complete records of all payroll processing.
  • Process Management Payroll for Kagome Foods bi-weekly.
  • Review payroll preview reports for accuracy and oversee paycheck distribution.
  • Oversee maintenance of all employee records, both manual and computer.
  • Assist in audit of personnel files to ensure compliance with all company and regulatory requirements.
  • Administer employee benefits including tracking of sick/vacation days and holidays.
  • Track employee evaluations and benefits timelines, preparing packets for both.
  • Assist in termination paperwork, data entry, final check preparation, and termination of benefits.
  • Assist employees with benefits, payroll, policy, procedure, and personnel issues.
  • Enter/track/maintain garnishments in the payroll system.
  • Assist employees with Requests for Time Off, benefit issues, and other related HR issues.
  • Keep up to date on Federal & State wage and hour laws.
  • Prepare information and reports for audits.
  • Prepare daily/weekly or as requested internal reports and perform required government reports under tight deadlines.
  • Assist/prepare benefits reconciliation for process of payments.
  • Support company activities and functions.

Requirements

  • High school diploma or equivalent; some college coursework preferred.
  • Fundamentals of Payroll certification required.
  • Professional in Human Resources (PHR) Certification preferred.
  • 3 years related human resources experience with emphasis on payroll and benefits administration.
  • Strong organizational and prioritization skills.
  • Ability to communicate with all levels of personnel and maintain confidentiality.
