About the position

As a Payroll & Benefits Specialist at JAE Oregon, you will be responsible for ensuring accurate and timely payroll processing for employees while also managing various benefits administration tasks. This role is crucial in maintaining a positive work environment and supporting the HR functions of the company. You will work closely with the HR Manager and serve as a primary point of contact for payroll inquiries, contributing to the overall employee experience.

Responsibilities

  • Process and submit biweekly and semi-monthly payroll for exempt and non-exempt employees using ADP TotalSource, with HR Manager approval.
  • Generate and verify payroll reports using ADP TotalSource to ensure accuracy and compliance.
  • Manage benefit reconciliations, process invoices, and handle monthly benefit payments; providing necessary reports.
  • Work with HR Coordinator on onboarding process for new employees, including payroll setup, account creation, drug screening, background checks, benefits enrollment, and compliance.
  • Work directly with vendor to ensure accurate payroll processing and up-to-date technical support.
  • Serve as the primary point of contact for employees regarding payroll inquiries and concerns, ensuring timely resolution.
  • Support benefits administration and facilitate the annual open enrollment process.
  • Maintain compliance postings and regularly update employee information in ADP TotalSource.
  • Provide assistance with leaves of absence for employees, ensuring compliance and proper documentation.
  • Coordinate training sessions related to payroll and benefits, maintaining accurate records.
  • Assist with special HR projects as directed by Human Resources Manager.

Requirements

  • Minimum of 5 years of experience in payroll functions.
  • At least 5 years of hands-on experience in HR or a related role.
  • Proficiency in ADP TotalSource is highly preferred.
  • Strong knowledge of federal, state, and local payroll and HR regulations.
  • Demonstrated ability to handle sensitive topics with discretion and professionalism.
  • Commitment to delivering excellent customer service to our employees.
  • Detail-oriented with exceptional problem-solving capabilities.
  • Strong written and verbal communication skills, with the ability to present information clearly and empathetically.
  • Ability to manage multiple projects and meet tight deadlines effectively.
  • High level of integrity and professionalism in handling confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Self-motivated and goal-oriented, with a proactive approach to tasks.
  • SHRM Certification preferred.
