About the position

Geode Capital Management, LLC is seeking a dedicated Payroll and HR Operations Manager to join our dynamic Human Resources team. This role is pivotal in administering the activities related to the firm's payroll, benefits, and HRIS processing. As an individual contributor, the Payroll and HR Operations Manager will ensure proper tax treatment, accounting, and withholdings, including taxes and deductions for benefits and retirement contributions. This position reports to the Director of Benefits, Learning & Development, and is located in Boston, Massachusetts, offering a hybrid work environment with a weekly in-office schedule of Tuesdays, Wednesdays, and Thursdays, while allowing remote work on Mondays and Fridays. The Payroll and HR Operations Manager will be responsible for preparing and processing payroll for hourly, salaried, and temporary employees, ensuring compliance with regulatory requirements and making necessary adjustments to pay. This includes executing on and off-cycle payments, implementing payroll best practices, maintaining employee records in payroll/HRIS systems, and producing scheduled and ad-hoc reports related to payroll and HR data. The role also involves coordinating projects with the Senior HR Analyst Data & Analytics, processing accurate year-end reporting, managing unemployment claims, and overseeing benefits administration, including new hire and life event management, annual enrollment operations, and benefits invoice reconciliation. In addition, the Payroll and HR Operations Manager will support compliance with benefits plans, conduct audits to ensure accuracy in enrollments and elections, and partner with the Finance department for internal audits and month-end closing processes. This position requires a strong understanding of Human Resources processes, payroll and benefit procedures, and the ability to handle sensitive situations with high interpersonal skills. The ideal candidate will demonstrate exceptional analytical skills, strong communication abilities, and a high level of organization to manage multiple tasks in a deadline-driven environment.

Responsibilities

  • Prepare and process payroll for hourly, salaried, and temporary employees, including administering regulatory requirements and adjustments to pay as necessary.
  • Execute on and off cycle payments including preparation of bonus accruals and other supplemental compensation payments.
  • Implement and maintain payroll best practices to gain efficiencies and consult with the HR team to improve payroll and HRIS processes.
  • Maintain employee records in payroll/HRIS systems and personnel files.
  • Produce scheduled and ad-hoc reports pertaining to payroll and HR data.
  • Coordinate projects and reporting with the Senior HR Analyst Data & Analytics.
  • Process accurate and timely year-end reporting including W-2s.
  • Maintain payroll guidelines by drafting and updating policies and procedures.
  • Ensure compliance with all governmental regulatory mandates and timely performance of filings by Third Party Administrators.
  • Manage unemployment claims to ensure timely and accurate handling of processing and payment.
  • Manage new hire and life events as well as annual enrollment operations for benefits administration.
  • Manage benefits invoice reconciliation and expense tracking and resolve discrepancies with carriers.
  • Coordinate employee wellness events and support benefits plans compliance, including annual non-discrimination testing and 1095C's.
  • Plan, conduct, and report results of audits to ensure all enrollments and elections are accurate.
  • Support Compensation operations by maintaining data and ensuring market data composites are up to date, and help prepare annual Total Rewards statements.
  • Partner with the Finance department in performing internal audits, control procedures, and month-end closing process to ensure accurate wage, tax, and benefit payments.

Requirements

  • 5+ years of experience administering payroll and HRIS required.
  • Strong understanding of Human Resources processes and terminology, payroll and benefit processes and procedures, including eligibility and enrollment rules.
  • Knowledge of multi-state tax laws.
  • High level of interpersonal skills to handle sensitive and confidential situations.
  • Demonstrate exceptional analytical skills and ability to create useful and actionable reports from data.
  • Strong written and verbal communications skills.
  • Strong organization skills and ability to complete multiple tasks and high volume of deadline driven work.
  • Ability to respond quickly and accurately to requests for data and provide excellent customer service.
  • Experience with ADP preferred.
  • Deep MS Excel and basic accounting skills.
  • Bachelor's degree preferred.
  • CEBS, CPP and/or PHR/SHRM-CP certification is a plus.
