About the position

The Payroll and Human Resources Specialist at The Fessenden School is a full-time position that plays a crucial role in assisting the daily operations of the Business Office. This position is responsible for managing payroll, human resources, and accounting/billing support, ensuring that all processes run smoothly and efficiently. The specialist will process biweekly and semi-monthly payrolls using Paycom, a payroll management system, and will be tasked with communicating with various departments to streamline the acquisition of payroll information. Training new employees on the payroll system is also a key responsibility, along with addressing payroll-related inquiries and overseeing the overall payroll process. The specialist will continuously seek to implement new processes and technologies to enhance the payroll function. In addition to payroll duties, the role includes significant human resources support. This involves onboarding new employees, notifying relevant departments about new hires and departures, and managing electronic checklists and training assignments for employees. The specialist will also be responsible for completing employment verifications, tracking employee data, and issuing employee letters. Furthermore, the position includes accounting and billing support, which entails maintaining student billing accounts in Blackbaud's Tuition Management system, processing payments, and performing journal entries and account reconciliations. The specialist will also provide additional support to the CFO, Controller, and Director of HR as needed, and will be expected to perform other duties as assigned.

Responsibilities

  • Process biweekly and semi-monthly payrolls in Paycom.
  • Communicate with various departments to receive and streamline payroll information acquisition.
  • Train new employees on Fessenden's payroll system (Paycom).
  • Handle payroll questions and complete any other tasks necessary for monitoring and overseeing the payroll process.
  • Implement processes and/or technologies to improve the payroll function.
  • Onboard new employees and notify departments of new hires and departing employees.
  • Assign electronic checklists, tasks, and trainings to employees.
  • Complete employment verifications and track employee data.
  • Assign employee letters and maintain student billing accounts in Blackbaud's Tuition Management.
  • Process payments, journal entries, and account reconciliations.
  • Provide support to CFO, Controller, and Director of HR as needed.

Requirements

  • 2-3 years payroll and/or HR experience.
  • Excellent verbal and written communication skills; multilingual is a plus.
  • Critical thinking skills and the ability to problem solve.
  • Excellent accuracy, attention to detail, and customer service oriented.
  • Ability to work independently with minimal supervision.
  • Ability to work in a diverse environment with staff and students from multiple countries and cultures.
  • Strong organizational skills; ability to establish and manage multiple priorities.
  • Strong computer and technical skills, including Excel, software proficiency, and data analysis.

Nice-to-haves

  • Bachelor's degree in Business Administration, Human Resources, Finance, or Accounting.
  • Knowledge of automated financial and accounting reporting systems.
  • Prior experience with billing and accounts receivables.
