About the position

The Payroll and Systems Specialist at Firestone Pacific Foods is responsible for the accurate processing of payroll and the management of payroll-related systems. This role focuses on optimizing system functionality, ensuring data integrity, and providing support to end-users. The specialist will work closely with HR, Finance, and IT teams to enhance payroll processes and system performance, ensuring compliance with relevant regulations.

Responsibilities

  • Process payroll for all employees accurately and on schedule, ensuring compliance with federal, state, and local regulations.
  • Manage payroll data entry, including earnings, deductions, benefits, and taxes.
  • Process support orders, garnishments, payroll corrections, and other additional pay as needed.
  • Reconcile payroll data and resolve discrepancies before payroll submission.
  • Maintain ADP (HRIS) with accurate information and perform system updates when needed.
  • Configure and maintain system settings, user access, and security roles.
  • Collaborate with IT and HR to implement system updates, upgrades, and new functionalities.
  • Conduct system testing and validation to ensure accurate payroll processing.
  • Create and maintain schedules for Time and Attendance.
  • Review timecards for accuracy.
  • Identify and implement process improvements to enhance payroll and HR accuracy and efficiency.
  • Develop and document payroll procedures and workflows.
  • Train HR and payroll staff on system functionalities and best practices.
  • Ensure payroll practices comply with relevant laws and regulations.
  • Prepare and submit payroll tax filings, W-2s, and other required reports.
  • Generate custom reports from payroll systems for HR and Finance departments.
  • Prepare, process, and approve year-end ACA, EEOC, and other governmental requirements by due dates.
  • Serve as a point of contact for payroll-related inquiries and issues.
  • Provide training and support to employees on self-service tools and payroll systems.
  • Address and resolve any payroll discrepancies or concerns.
  • Perform regular audits of payroll data and systems to ensure accuracy and integrity.
  • Reconcile payroll accounts and prepare documentation for audits.
  • Manage year-end processes, including tax filings and adjustments.

Requirements

  • Bachelor's degree in Accounting, Finance, Human Resources, Information Systems, or a related field (preferred).
  • 3-5 years of experience in payroll processing and systems management.
  • Experience with ADP Workforce Now.
  • Strong understanding of payroll regulations and compliance requirements.
  • Proficiency in payroll and HRIS systems.
  • Excellent analytical and problem-solving skills.
  • Strong attention to detail and organizational abilities.
  • Ability to manage multiple tasks and meet tight deadlines.
  • Strong communication and interpersonal skills.

Nice-to-haves

  • Certification in payroll (CPP, FPC) or HR systems (SHRM, HRCI) is a plus.
  • Experience with system implementation and project management is beneficial.
  • Bi-lingual a plus.
