About the position

The Payroll Assistant/Specialist at Hawaiiana Management is responsible for compiling payroll data and maintaining payroll records through various essential duties. This role requires a strong focus on customer service, as the individual will be addressing inquiries from AOAO employees and ensuring that payroll operations are processed accurately and timely. The position involves bi-weekly payroll processing for multiple AOAO payroll clients, which includes responding to employee questions, processing off-cycle payroll checks, and managing payroll reports. The Payroll Assistant/Specialist will also be responsible for updating employee information in the payroll system, reconciling payroll prior to transmission, and ensuring compliance with child support orders and garnishments. In addition to payroll processing, the role includes tracking PTO, vacation, and sick leave for employees, assisting with reporting and data requests for internal and external audits, and providing pay rate information to management for budgeting purposes. The individual will work closely with the HR/Benefits department to manage employee data related to new hires, terminations, and deductions. Conducting payroll orientation for Association Managers and assisting walk-ins at the front desk are also part of the responsibilities. The ideal candidate will possess strong analytical skills, attention to detail, and the ability to handle sensitive information with discretion, all while maintaining a high level of organization and time management.

Responsibilities

  • Provide excellent customer service to AOAO employees.
  • Perform payroll operations/processing including bi-weekly payroll processing for associations.
  • Address AOAO employees' questions and concerns regarding payroll.
  • Respond to phone calls, emails, and other inquiries in a timely manner.
  • Process off-cycle payroll checks and reissue new checks for direct deposit or payroll check return.
  • Download payroll reports for regular and off-cycle payroll runs from Paycor and save them in designated folders.
  • Download quarterly payroll tax reports from Paycor and save them in designated folders.
  • Meet deadlines and manage workflow to ensure accurate and timely processing of payroll transactions for multiple AOAO payroll clients.
  • Update employee information in the payroll system, including direct deposit, pay rates, and withholding taxes.
  • Reconcile payroll prior to transmission and validate confirmed reports.
  • Process and calculate child support orders and garnishment payments.
  • Complete PTO/Vacation/Sick Leave forms for AOAO and submit them to Paycor for setup.
  • Track PTO/Vacation/Sick Leave for AOAO using the Paycor PTO program after payroll runs.
  • Assist with reporting and data requests for internal/external auditors.
  • Provide employees' pay rate information to management for budgeting purposes.
  • Assist payroll team associates with payroll processing and office duties as necessary.
  • Communicate with HR/Benefits department regarding employee data on new hires, terminations, and deductions.
  • Conduct payroll orientation for Association Managers on payroll procedures and policies.
  • Assist walk-ins at the front desk.

Requirements

  • High school diploma or GED required.
  • At least two years of related experience required for Payroll Specialist role.
  • Strong knowledge of payroll processes and procedures.
  • Proficiency in using payroll software and systems.
  • Familiarity with human resources practices and policies.
  • Attention to detail and accuracy in data entry.
  • Excellent organizational and time management skills.
  • Strong analytical and problem-solving abilities.
  • Ability to handle sensitive and confidential information with discretion.
  • Understanding of basic payroll laws and IRS regulations.
  • Experience using Microsoft applications (Excel, Word, Windows) and Bluebeam.
