About the position

The Payroll Assistant plays a crucial role within the Amador Tuolumne Community Action Agency (ATCAA) by providing essential support to the Payroll Coordinator. This position involves reviewing payroll documents for accuracy, inputting payroll data into the agency's computerized payroll system, and assisting employees with payroll-related inquiries. The Payroll Assistant also takes the lead in payroll functions in the absence of the Payroll Coordinator and Administrator, ensuring smooth payroll operations.

Responsibilities

  • Review payroll documents, such as employee time records, to ensure they are complete and accurate.
  • Prepare and reconcile payroll data, and input it into the computerized payroll system.
  • Prepare computerized payroll data and download reports.
  • Assist with preparation and input of accounting data into the computerized accounting system.
  • Provide prompt assistance to Employees, Program Directors, and Supervisors.
  • Maintain the timely arrival of timesheets and other payroll documents through the computerized payroll system.
  • Prepare spreadsheets using Microsoft Excel, specifically downloading, manipulating data, and preparing reports.
  • Prepare forms, documents, procedures, or other materials as needed.
  • Assist with general clerical duties, such as typing, filing, copying, mailing, distribution, and answering telephones.
  • Gather, compile, and organize data and information for reports or correspondence.
  • Compose and proofread correspondence or other materials.
  • Assist with maintaining and reconciling payroll-related general ledger accounts.
  • Assist with special fiscal or administrative projects.
  • Work with other administrative staff as needed to assure cross-training and backup.

Requirements

  • Experience and proficiency in word processing and spreadsheet applications.
  • Experience or willingness to learn cloud-based systems, specifically Microsoft Office 365 and OnePoint (Human Capital Management).
  • Fundamental knowledge of basic bookkeeping.
  • Possess a high school diploma or equivalent.
  • Possess a valid California driver's license and an acceptable driving record.
  • Ability to obtain fingerprint clearance upon offer of employment.
  • High level of organizational skills, accuracy, and attention to detail.
  • Effective oral and written communication skills.
  • Proficiency in keyboarding and 10-key operation.
  • Ability to follow directions with minimal supervision.
  • Ability to occasionally work a flexible schedule if needed due to payroll processing time constraints.
  • Ability to lift 30 pounds.

Nice-to-haves

  • Thorough understanding of bookkeeping and/or accounting principles.
  • Experience in the use of computerized Payroll System.
  • Experience in database maintenance and report generation.
  • Work experience in fund accounting.
