About the position

Human-I-T is seeking a friendly, detail-oriented, and proactive Payroll & Benefits Administrator / Receptionist to support our HR department. This dual role combines the responsibilities of managing payroll and employee benefits with reception duties, providing a central point of communication and support within our organization. This position is integral to ensuring efficient payroll processing and benefits administration while also offering a welcoming and professional front-office experience. Responsibilities

  • Maintain up-to-date employee files and records, ensuring accuracy and confidentiality.
  • Assist in the processing of payroll, ensuring timely and accurate payment, and managing related data entry within the UKG system.
  • Receive and handle employee inquiries related to payroll and benefits, providing support and guidance to ensure a smooth transition and ongoing usage of the UKG system.
  • Assist with the coordination of open enrollment periods, benefits orientations, and related events.
  • Act as a liaison between employees and benefit providers to quickly resolve issues and manage follow-ups effectively.
  • Support the HR team with administrative tasks, including those related to the rollout and implementation of UKG, helping to streamline processes and improve workflows.
  • Update and manage administrative documents and systems, ensuring all data is current and accurately reflected; identify errors and resolve or escalate to maintain a clean and working HR information system (HRIS).
  • Greet and welcome visitors, employees, vendors, donors, and guests warmly, ensuring a positive first impression of the organization.
  • Answer and direct incoming calls, emails, and inquiries to appropriate departments promptly and courteously.
  • Maintain a tidy and welcoming reception area, managing office supplies inventory and ensuring all communal areas are well-organized.
  • Receive, sort, and distribute daily mail, packages, and deliveries efficiently.
  • Assist in organizing and executing employee engagement events, including celebrations and recognition programs.
  • Serve as a point of contact for employee engagement initiatives, contributing to a positive, inclusive, and welcoming work environment.

Requirements

  • High school diploma or equivalent is required.
  • Associate degree or some college coursework in HR, Business Administration, or a related field is preferred.
  • Previous experience in reception, HR, payroll, or benefits administration highly beneficial.
  • Familiarity with HRIS systems, particularly UKG, with a focus on payroll and benefits modules.
  • Strong interpersonal and communication skills.
  • Capable of handling sensitive and confidential information with discretion and professionalism.
  • Ability to quickly learn new software and systems.
  • Excellent organizational skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Attention to detail and high standards of quality.
