About the position

The Payroll/Benefits Coordinator is responsible for managing all aspects of payroll and employee benefits for the Town of Charlestown. This role ensures that employees are paid accurately and on time while maintaining employee files related to benefits. The coordinator will assist both active and retired employees with their benefits inquiries and ensure compliance with payroll laws and regulations.

Responsibilities

  • Answering employee's inquiries both in person and on the phone
  • Performing general clerical duties such as filing, answering phone, making copies
  • Developing and typing correspondence as needed
  • Preparing and maintaining pre-employment packets for full time and part time employees
  • Providing assistance to all active and retired employees to ensure they understand the Town's provided benefits
  • Processing and maintaining all active and retired employee's benefits such as health care and life insurance
  • Reviewing benefit billings for accuracy and processing necessary paperwork for payment
  • Providing and reviewing all new employee's documentation to ensure accuracy and completion
  • Processing payroll for both salaried and hourly employees on a regular basis
  • Maintaining employee's accruals and usage of sick leave, vacation, personal days, and other leaves
  • Calculating and processing employee wages, bonuses, and commissions
  • Processing accurate changes of employee payroll information
  • Processing any garnishments and authorized deductions from employees pay
  • Processing direct deposits for employee's paycheck
  • Handling and maintaining all COBRA, FMLA requirements to employees
  • Processing necessary paperwork dealing with on-the-job injuries
  • Ensuring timely and accurate submission of payroll taxes and government-mandated reports
  • Preparing quarterly reporting as requested
  • Processing year-end W-2 and 1099's for accuracy
  • Preparing and processing 1095-C and forwarding to employees
  • Performing related work as required or assigned.

Requirements

  • Associate's Degree in accounting, finance, or related field
  • Experience utilizing payroll software and systems
  • Familiarity with Microsoft Office Word and Excel
  • Excellent communication skills, both oral and written
  • Detail-oriented and organized with strong analytical skills
  • Strong numerical skills and attention to detail
  • Ability to work independently and under deadlines
  • Knowledge of tax and wage laws is a plus.
