About the position

The Payroll/Benefits Secretary (Class I) is responsible for managing all payroll and benefits matters within the organization. This role is crucial in ensuring that all payroll processes are executed accurately and efficiently, as well as maintaining the integrity of employee benefits programs. The individual in this position will work closely with the Business Manager and Payroll Supervisor to ensure compliance with all relevant regulations and policies. The Payroll/Benefits Secretary will handle various administrative tasks related to payroll processing, benefits coordination, and employee record maintenance. This position requires a high level of attention to detail and the ability to manage multiple tasks simultaneously while maintaining confidentiality and professionalism. The Payroll/Benefits Secretary will process all time and attendance records for hourly employees, ensuring that all hours worked, overtime, and leave requests are accurately recorded. This includes receiving and processing weekly time sheets for non-certified employees and managing requests for vacation, personal, and sick leave. The individual will also maintain time card files and general payroll employee files, ensuring that all records are up-to-date and compliant with organizational policies. In addition to payroll responsibilities, the Payroll/Benefits Secretary will serve as the health and life insurance benefits coordinator, acting as a liaison between employees and benefits providers. This role also includes coordinating Worker's Compensation benefits and overseeing all functions of benefits programs for both active staff and retirees. The individual will track attendance records for paid and unpaid leaves and will be responsible for sorting, mailing, and distributing payroll checks. In the absence of the payroll supervisor, the Payroll/Benefits Secretary will process payroll and perform any other job-related responsibilities as assigned by the immediate supervisor.

Responsibilities

  • Process all time and attendance for hourly employees for each payroll.
  • Receive all weekly time sheets for all non-certified employees and record overtime, personal and sick leave and other variations from regular work schedules.
  • Process and post vacation, personal, sick and personal day requests for all staff.
  • Maintain time card files as well as general payroll employee files.
  • Serve as health and life insurance benefits coordinator.
  • Act as coordinator for Worker's Compensation benefits.
  • Sort, mail and distribute payroll checks.
  • Maintain and oversee all functions of benefits programs for active staff and retirees.
  • Track attendance records for paid and unpaid leaves.
  • Process payroll in the absence of the payroll supervisor.
  • Perform any other job related responsibilities as assigned by the immediate supervisor.

Requirements

  • High School diploma with some college or business school education desirable.
  • Minimum of two year's experience in payroll and benefits required.
  • Excellent computer skills including familiarity with Microsoft Office™ and the ability to operate office machinery including, but not limited to, fax machine and copy machine.
  • Excellent interpersonal and communication skills.
