About the position

The Payroll Bookkeeper is responsible for ensuring that all payroll is processed accurately and on time, in compliance with government regulations. This role involves preparing employee salary statements, reconciling accounts, maintaining payroll files, and generating reports. The Payroll Bookkeeper plays a crucial role in the finance department, reporting directly to the Finance Director.

Responsibilities

  • Implements, maintains and reviews payroll processing and accounting systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes and other deductions.
  • Ensures accurate and timely processing of payroll updates.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Reviews timeclock for all departments to ensure a smooth payroll process.
  • Calculates net salaries, deductions and withholdings.
  • Processes overtime earnings or holiday deductions.
  • Monitors paid and unpaid leaves.
  • Updates payroll file and general ledger.
  • Prepares and submits payroll reports to other agencies, such as TMRS, 941, TWC, Sales Tax and other reports as necessary.
  • Reconciles payroll and deduction accounts on a monthly basis.
  • Ensures timely processing of end of year reports, such as W-2's.
  • Facilitates audits by providing records and documentation to auditors.
  • Identifies and recommends updates to payroll accounting software, systems and procedures.
  • Resolves payroll issues.
  • Ensures compliance with federal, state and local payroll, wage and hour laws and best practices.
  • Handles postage report and payment.
  • Assists other Finance areas when necessary, such as Accounts Payable and General Ledger.
  • Performs other duties as assigned.

Requirements

  • An Associate's degree in Accounting, Finance, or a related field, or an equivalent combination of education, training and experience in payroll.
  • Minimum of three years of related experience required.
  • Driver's License required.
  • Extensive knowledge of payroll functions including preparation, balancing, internal controls and payroll taxes.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Proficient in Microsoft Office or related Software.
  • Knowledge of ERP Pro (Incode ERP 9).
