About the position

The HR Coordinator/Administrative Assistant at Paragon Sports is a part-time role focused on overseeing payroll processing, benefits administration, and compliance. The position requires ensuring the accuracy and efficiency of payroll operations while enhancing employee engagement with benefits programs. The candidate will interface with Human Resources and Finance, manage payroll tasks, and administer employee benefits.

Responsibilities

  • Manage and process weekly payrolls using ADP systems, ensuring accuracy and compliance with relevant regulations and company policies.
  • Generate and analyze payroll reports for management, providing insights and ensuring data integrity.
  • Assist with year-end payroll processes, including issuing W-2s and other tax documentation.
  • Maintain and update employee records, including new hires, terminations, promotions, and other changes.
  • Oversee and manage the end-to-end payroll process for all employees, ensuring timely and accurate payroll disbursements.
  • Handle complex payroll tasks, including processing off-cycle payments, retroactive adjustments, and garnishments.
  • Ensure compliance with federal, state, and local payroll laws and regulations.
  • Maintain and update employee payroll records including changes in exemptions, insurance coverage, and direct deposit information.
  • Address and resolve any payroll discrepancies or issues promptly.
  • Work closely with Human Resources, Finance, and Management to ensure accurate and timely payroll processing.
  • Assist with internal and external audits related to payroll.
  • Provide excellent customer service to employees regarding payroll inquiries and issues.
  • Troubleshoot and resolve payroll system issues promptly.
  • Identify and recommend improvements to payroll processes and systems.
  • Distribute all benefits enrollment materials.
  • Ensure the accuracy of all benefits enrollments.
  • Enroll employees and maintain online database information for vendors.
  • Perform quality checks of benefits-related data.
  • Administer employee benefit programs, including health and dental insurance, retirement plans, and other ancillary & voluntary benefits.
  • Manage worker's compensation, NY disability, and Paid Family Leave.
  • Maintain plan records and ensure compliance with federal regulations.
  • Respond to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes, and other general inquiries.
  • Maintain internal spending accounts records and vendor database for commuter, health, dental, life insurance, long-term disability, and 401(k) programs.
  • Respond to staff inquiries related to enrollments, plan changes, contribution amounts, and annual catch-up contribution enrollment.
  • Respond to requests for 401k withdrawal, process 401k enrollments.
  • Provide necessary reports and support for allocation/billing charges and invoice payments.
  • Provide routine and ad hoc reports to Management as needed.
  • Assist in the exit process of employees by calculating final benefits and processing all COBRA communications and enrollments.
  • Complete regular reporting for employee benefits: ACA, 1099, 401(k), Workers Comp audits, Unemployment, NDT Testing, 401k Audits.
  • Ensure compliance with all labor laws, tax regulations, and reporting requirements related to payroll and benefits.
  • Ensure distribution of required employee notices.
  • Stay up to date with the laws and regulations on employee benefits.
  • Assist departments with reporting needs and analysis.

Requirements

  • Bachelor's degree in accounting, Finance, Business Administration or a related field preferred.
  • Minimum of 3-5 years of experience, with a strong background in ADP payroll.
  • Experience working with organizations with 100+ employees.
  • Proficiency in ADP payroll systems with a strong understanding of payroll laws and regulations.
  • Excellent analytical research and problem-solving skills.
  • Attention to detail and high level of accuracy.
  • Strong communication and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise good judgement.
  • Knowledgeable of federal, state, and local laws and regulations governing employee benefits, including ACA, ERISA, HIPAA, FMLA, and COBRA.
  • Excellent organizational and time management skills.
  • Proficient with Microsoft Office Suite, and Google suite including working knowledge of Excel.
  • Ability to maintain a high level of discretion in handling sensitive & confidential information.
  • Must be able to clearly define a problem, its possible solutions and effectively advocate its resolution.
  • Ability to work independently and collaboratively.
  • Possess an excellent eye for detail.
