About the position

The Payroll Coordinator II is responsible for performing both standard and non-routine tasks to establish and maintain payroll records. This includes computing wage and overtime payments, calculating and recording payroll deductions, and processing requests for off-cycle payments. The role enforces payroll policies and procedures, resolves payroll-related problems, performs system data loads, and provides guidance to field personnel. The Payroll Coordinator II plays a crucial role in ensuring the accuracy and compliance of payroll processes across the organization. In this position, the Payroll Coordinator II will input data into computerized payroll systems to prepare weekly and semi-monthly payrolls. This involves updating and adjusting employee earnings and deductions, as well as running pre-payroll audit reports to ensure the accuracy of payroll output. The coordinator will also complete payroll processing activities, which include computing wage and overtime payments, calculating and recording payroll deductions, and processing requests for off-cycle payments. Additionally, the coordinator will calculate overpayments and prepare repayment agreements as necessary. The role requires answering complex questions from employees and management regarding payroll matters, ensuring compliance with payroll policies and procedures. The Payroll Coordinator II may also audit earnings and deduction totals, review system output such as registers and reports, determine and correct out-of-balance conditions, and prepare special reports for management. Standard administrative tasks such as answering phones, preparing reports, maintaining records, and tracking information using a case management tool are also part of the job responsibilities. The Payroll Coordinator II will process payroll for approximately 10,000 employees across multiple states and will maintain confidentiality of employee and company data. Other duties may be assigned as needed, making this a dynamic role within the payroll department.

Responsibilities

  • Inputs data to computerized payroll systems to prepare Weekly and Semi-monthly payroll, including updating and adjusting employee earnings and deductions.
  • Runs pre-payroll audit reports to ensure the accuracy of payroll output.
  • Completes payroll processing activities, such as computing wage and overtime payments, calculating and recording payroll deductions, and processing requests for off-cycle payments.
  • Calculates overpayments and prepares repayment agreements.
  • Answers complex questions from employees and management regarding payroll matters via email and phone.
  • Ensures compliance with payroll policies and procedures.
  • May audit earnings and deduction totals, review system output, determine and correct out-of-balance conditions, and prepare special reports for management.
  • Performs standard administrative tasks, including answering phones, preparing reports, maintaining records, and tracking information using case management tool.
  • Audits and processes payroll information submitted by the field for accuracy, policy compliance, and completeness.
  • Maintains confidentiality of employee and company data.
  • Processes payroll for approximately 10,000 employees across multiple states.
  • Performs other duties as assigned.

Requirements

  • H.S. diploma/GED required
  • Three (3) years or more of experience in payroll and/or finance, accounting, or related field required
  • Three (3) years or more of multi-state payroll processing required
  • Other Fundamental Payroll Certification (FPC) and/or Certified Payroll Professional (CPP) designation preferred
