About the position

The Payroll Coordinator/Specialist plays a crucial role in managing payroll processes under the supervision of the Payroll Manager. This position involves ensuring compliance with company and regulatory standards while handling various payroll-related tasks, including processing bi-weekly payroll, maintaining accurate records, and responding to payroll inquiries. The ideal candidate should possess strong numerical skills and excellent interpersonal abilities to effectively collaborate with team members and assist employees with payroll-related issues.

Responsibilities

  • Monitor and maintain activity in the Time and Attendance System.
  • Ensure supervisors approve bi-weekly timesheets and review timesheet entries for adjustments.
  • Assist with reviewing and processing bi-weekly payroll, including terminations, retirements, reclassifications, promotions, and demotions.
  • Calculate wages, benefits, retroactive pay, and corrections.
  • Prepare and process paychecks and cash deposits.
  • Maintain accurate records of payroll documentation and transactions.
  • Respond to payroll-related inquiries and resolve concerns.
  • Perform account balance and payroll reconciliations.
  • Prepare financial reports for accounting and auditing purposes.
  • Prepare periodic payroll reports for management review.
  • Coordinate with team members in the processing of payroll.
  • Perform related administrative tasks and conduct cross-training in other fiscal functions.
  • Assist with year-end processing and reconciliation of W2's and 1099R's.
  • Perform audits of data prior and after payroll completion and follow established controls.
  • Ensure compliance with local and federal policies and procedures.
  • Process routine interdepartmental reports at scheduled intervals.
  • Request wires or manual checks to address payroll issues as needed.
  • Maintain all payroll files of the office.
  • Brief new employees on Unity's Personnel/Payroll Policies and Procedures and assist with their orientation programs.
  • Maintain strict confidentiality regarding personnel information and files.

Requirements

  • Associate's degree with major course work in Accounting/Business or related courses or equivalent experience.
  • A minimum of 2 years' experience working in payroll or a similar role.
  • Working knowledge of basic accounting principles and payroll practices.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • High numerical aptitude.
  • Detail-oriented.
  • Knowledge of HRIS/Payroll software (ADP preferred).
  • Ability to work with minimum supervision.
  • Strong computer and customer service skills.
