Payroll Coordinator - Tax and Accounting Office Eva Smith & Associates Tax & Accounting is a small, local tax and accounting office located in Hayward, CA, with a strong presence in the community for the past 20 years. We pride ourselves on being a full-service tax and accounting office that specializes in providing tax preparation, bookkeeping, payroll, and consulting services to both individuals and businesses. We are currently seeking an experienced and knowledgeable Payroll Coordinator to join our team. This role is crucial in processing payroll for our small business clients and assisting with various administrative functions related to tax preparation. The Payroll Coordinator will be responsible for onboarding new small business clients, informing them about the payroll process, and accurately processing bi-weekly payroll. Additionally, this position involves filing quarterly and annual tax forms, ensuring compliance with federal and state regulations. The ideal candidate will have a strong command of payroll software and QuickBooks, demonstrating accuracy and efficiency in their work. Trustworthiness with sensitive information and excellent communication skills are essential, as the Payroll Coordinator will interact with both colleagues and executives. In this role, you will discuss payroll services with new clients, maintain accurate records for small businesses and their employees, and ensure timely payment of federal and state taxes. You will also provide paystubs to employees and file necessary payroll tax forms, including 941 and DE9 forms, as well as annual W2s. The position offers opportunities for cross-training and involvement in tax review calls, where you will review refund and tax results with clients. You will also be responsible for new client onboarding and follow-ups, communicating service offerings, and assisting with bookkeeping and incorporation services.

Responsibilities

  • Discuss payroll services with new clients
  • Onboard and set up new clients with payroll services
  • Maintain accurate records for the small business and business employees
  • Process accurate bi-weekly and monthly payrolls
  • Pay federal and state taxes timely
  • Provide paystubs to employees
  • File quarterly federal and state payroll tax forms (941, DE9, etc)
  • File annual payroll forms - W2s

  • Tax Review Calls - Reviewing refund and tax results with clients
  • New Client Onboarding and Follow-Ups - Communicating service offerings and completing follow-ups with new and potential clients
  • General assistance, client relations and processing for Bookkeeping, Payroll, & Incorporation Services

Requirements

  • 5+ years of experience processing payroll; a MUST!
  • 5+ years of professional, small office experience
  • Proficient with specific software - QuickBooks
  • Proficient in Microsoft Office and Google Suite, required
  • Familiar with accounting fundamentals and tax processes
  • Trustworthy with attention to confidentiality
  • Outstanding organizational ability with great attention to detail
  • Excellent communication skills; must be able to speak and write English clearly and phonetically
  • High school diploma or equivalent; BS/BA in business, accounting or relevant field is a plus
