The Payroll Coordinator at Indian Prairie School District 204 is responsible for planning, managing, coordinating, and participating in the payroll preparation and distribution processes for the district. Responsibilities

  • Manage, organize, and participate in the operations of the district payroll preparation and distribution.
  • Oversee payroll accounting work according to established procedures, departmental guidelines, and regulatory requirements.
  • Interpret and explain payroll administrative policies and guidelines to employees.
  • Assist staff in understanding and applying payroll policies and procedures.
  • Maintain proper procedures, policies, rules, and regulations that apply to payroll processing.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws.
  • Collaborate with the benefits team to determine payroll and timeframe impacts for implementation of rate changes.
  • Maintain salary tables, payroll calendars, payroll system set-up, and system tax/retirement rates.
  • Prepare and maintain monthly, quarterly, and annual tax reconciliation reports.
  • Initiate and carry-out W2 process to completion.
  • Complete state annual statistical reporting.
  • Process monthly tax/retirement payments and reports.
  • Facilitate audits by providing records and documentation to auditors.
  • Maintain and balance payroll liability accounts.
  • Process check voids, tax adjustments, and pre-tax deduction refunds.
  • Initiate and transfer files for taxes, retirement, tax shelter annuities, and direct deposits.
  • Troubleshoot errors within the payroll process to determine the cause and take necessary action to correct.
  • Initiate and maintain processes to validate data integrity, track and balance salary and employment changes, and verify data input of others into the HRIS system.
  • Serve as the TRS and IMRF authorized agent for the district.

Requirements

  • Bachelor's degree in a relevant field.
  • 3-5 years of experience in payroll or a similar role.
  • Strong knowledge of payroll processes and compliance with federal, state, and local laws.

  • Familiarity with retirement compliance and reporting.
