About the position

The Payroll & HR Manager will be responsible for managing and overseeing all aspects of payroll processing to ensure accurate and timely payment of wages. This role involves working closely with the operations teams to maintain payroll data integrity, comply with relevant regulations, and provide insightful financial reporting. The Payroll & HR Manager will have strong expertise in using payroll systems and various Workforce/Labor management systems, ensuring seamless integration and efficient payroll operations. Attention to detail, problem-solving skills, and the ability to handle confidential information with discretion are essential for success in this role. In this position, the manager will be tasked with payroll processing, which includes managing and processing bi-weekly payrolls using the ADP payroll system, calculating wages, overtime, bonuses, and other compensations while ensuring compliance with company policies and legal requirements. The manager will also validate payroll data, including new hires, terminations, salary adjustments, and garnishments. The Payroll & HR Manager will stay updated on federal, state, and local payroll regulations to ensure full compliance and will prepare and submit payroll tax filings, including quarterly and annual reports and W-2s. They will maintain accurate and up-to-date payroll records, ensuring data integrity in both the payroll system and other scheduling/people management software. Regular audits will be conducted to verify payroll data accuracy and resolve discrepancies. The manager will also administer benefits, including tracking eligibility, providing and collecting enrollment forms, and managing payroll-related deductions for benefits. Utilizing the payroll system for processing, reporting, and employee self-service functions will be a key responsibility, along with conducting regular payroll reconciliations and providing exceptional customer service to employees regarding payroll-related matters. The manager will implement best practices and streamline procedures to enhance the accuracy and efficiency of payroll processing while handling confidential payroll information with the highest level of integrity and discretion. Additionally, the Payroll & HR Manager will act as a backup for Accounts Payable and Office Management Functions and perform other duties as assigned.

Responsibilities

  • Manage and process bi-weekly payrolls using payroll system (ADP), ensuring accuracy and timeliness.
  • Calculate wages, overtime, bonuses, and other compensations, ensuring compliance with company policies and legal requirements.
  • Validate payroll data, including new hires, terminations, salary adjustments, and garnishments.
  • Stay updated on federal, state, and local payroll regulations to ensure full compliance.
  • Prepare and submit payroll tax filings, including quarterly and annual reports and W-2s.
  • Maintain accurate and up-to-date payroll records, ensuring data integrity in both payroll system (ADP) and other Scheduling/people management Software.
  • Conduct regular audits to verify payroll data accuracy and resolve discrepancies.
  • Ensure synchronization of employee data, such as benefits, leave balances, and employment status.
  • Administer Benefits including tracking eligibility, providing and collecting enrollment forms, and managing payroll related deductions for benefits.
  • Utilize payroll system (ADP) for payroll processing, reporting, and employee self-service functions.
  • Use Workforce Management Systems/apps to help streamline payroll data for seamless financial reporting and analysis.
  • Conduct regular payroll reconciliations, including liability reconciliations related to payroll transactions.
  • Provide exceptional customer service to employees regarding payroll-related matters.
  • Implement best practices and streamline procedures to enhance the accuracy and efficiency of payroll processing.
  • Handle confidential payroll information with the highest level of integrity and discretion.
  • Adhere to company policies, procedures, and ethical standards in all payroll activities.
  • Act as a backup for Accounts Payable and Office Management Functions.
  • Perform other duties as assigned.

Requirements

  • Bachelor's degree in accounting, finance, Business Administration, or a related field is preferred. Four (4) years of experience may be substituted for the required education.
  • Certified Payroll Professional (CPP) or similar certification is a plus.
  • 4 years of experience in Accounting/Payroll is required.
  • Proficiency in Microsoft Office, especially Excel, for efficient data analysis and financial management.
  • Solid working knowledge of ADP Workforce Now and experience with Workforce Management Software/apps.
  • Adept at reading and interpreting regulation, code, and law, with the ability to apply findings across multiple scenarios.
  • Strong critical thinking skills to analyze facts and observations and guide problem solving.
  • Ability to work independently and self-guide day-to-day activities.
