About the position

The Payroll/HR Manager at Airbase Carpet & Tile Mart is responsible for overseeing and managing complex payroll functions, ensuring accuracy, compliance, and timely processing. This role involves analyzing payroll data, preparing reports, and collaborating with HR and Finance to maintain payroll integrity. The manager will also handle audits, tax filings, and the resolution of payroll discrepancies while continuously improving payroll processes and controls.

Responsibilities

  • Oversee and process full-cycle payroll for all employees, ensuring compliance with local, state, and federal laws.
  • Review and verify payroll data, including salaries, bonuses, overtime, and deductions.
  • Ensure accurate and timely processing of payroll on a regular basis (weekly, bi-weekly, monthly, etc.).
  • Perform payroll account reconciliations, including payroll liabilities, tax withholding accounts, and general ledger entries.
  • Prepare and post payroll-related journal entries in the general ledger.
  • Reconcile payroll-related balance sheet accounts and investigate discrepancies.
  • Ensure accurate calculation, withholding, and reporting of payroll taxes, including federal, state, and local taxes.
  • Prepare and file quarterly and annual payroll tax reports (e.g., 941, W-2, 1099).
  • Lead payroll audits, ensuring that payroll processes meet internal controls and regulatory requirements.
  • Generate and analyze payroll-related financial reports, including variance analysis, headcount reports, and other key payroll metrics.
  • Oversee the payroll-related aspects of employee benefits, including retirement contributions, health insurance premiums, and other voluntary deductions.
  • Work closely with IT, HR, and Finance teams to optimize and maintain payroll systems and software (e.g., ADP, Workday, SAP).
  • Respond to and resolve complex payroll inquiries from employees, management, and external parties.

Requirements

  • Bachelor's degree in Human Resources or relevant certifications required (Accounting knowledge preferred).
  • 5+ years of experience in payroll processing, payroll accounting, or related roles.
  • Strong understanding of payroll laws, accounting principles, tax regulations, and compliance requirements.
  • Advanced knowledge of payroll software (e.g., ADP, Paycom, Workday) and accounting systems (e.g., Great Plains, SAP, QuickBooks).
  • Proficiency in Microsoft Excel and other financial tools for data analysis and reporting.

Nice-to-haves

  • Certified Payroll Professional (CPP) certification is a plus.
