About the position

The Payroll & HRIS Specialist at Westhab Inc. is a vital role within the Human Resources department, responsible for the accurate and timely processing of biweekly payroll. This position requires a strong understanding of payroll tasks, adherence to company policies, and compliance with legal regulations. The ideal candidate will possess excellent interpersonal skills, enabling them to effectively coordinate payroll activities and interact with employees regarding payroll inquiries. The specialist will maintain the HRIS system, ensuring that all employee data is accurately entered and updated, including new hires, terminations, promotions, and transfers. This role also involves running audits to verify the integrity of the HRIS data and making necessary corrections to maintain accuracy. In addition to HRIS maintenance, the Payroll & HRIS Specialist will handle payroll processing, which includes calculating pro-rated pay for new hires, terminations, and promotions, as well as managing vacation payouts. The specialist will be responsible for recording and maintaining employee records, including timesheets and direct deposit forms, and responding to wage information requests. They will also set up garnishments, child support, and tax levies in compliance with legal requirements. Reporting is another key responsibility, as the specialist will prepare complex data reports for senior staff and the HR team for management and auditing purposes. Other duties may be assigned as needed, contributing to the overall efficiency and effectiveness of the HR department.

Responsibilities

  • Maintaining HRIS System: Accurate and timely entry of new employees into ADP system.
  • Processing employee terminations in ADP in an accurate and timely manner.
  • Updating HRIS information for promotions and transfers in an accurate and timely manner.
  • Running audits to ensure integrity of data in HRIS system is accurate and making corrections as needed.
  • Calculating pro-rated pay for all new hires, terminations, and promotions, including vacation payout for terminations.
  • Recording and maintaining employee records and payroll transactions, including timesheets and direct deposit forms.
  • Responding to requests for wage information and setting up garnishments, child support, and tax levies in accordance with legal requirements.
  • Ensuring compliance with company policies, relevant industry regulations, tax, and deduction laws.
  • Preparing complex data reports for senior staff and HR team for management and auditing purposes.
  • Performing other duties as assigned.

Requirements

  • Bachelor's degree preferred, Associate's degree required.
  • 3+ years' experience in payroll processing.
  • Knowledge of ADP Workforce Now preferred.
  • Experience in administration of diverse benefits and not-for-profit experience preferred.
