About the position

The Payroll and Leave Specialist at James Edward & Companies Inc. plays a crucial role in supporting the HR Department by managing payroll processes and responding to employee inquiries regarding leaves and payroll. This position ensures compliance with labor laws and company policies while contributing to the development of organizational guidelines for smooth HR and payroll operations.

Responsibilities

  • Timely and efficient semi-monthly payroll processing and reporting.
  • Enters, maintains, and processes information in the payroll system, including hourly rates, salaries, commissions, bonuses, time worked, paid leave, and deductions.
  • Ensures proper processing of payroll deductions for taxes, benefits, and other deductions.
  • Issues replacement checks or direct deposits due to payroll errors or final discharge.
  • Ensures payroll processes adhere to compliance regulations.
  • Processes, monitors, and updates garnishment orders.
  • Communicates with employees and managers regarding leave and modified work schedules.
  • Handles the FMLA leave administration process from initial notice to return to work.
  • Maintains communication with employees on leave to facilitate timely return to work.
  • Advises on the interaction of leave laws with paid time off, workers compensation, and disability benefits.
  • Oversees the return-to-work process for employees returning from leave.
  • Administers other company time-off programs as assigned.
  • Preserves confidentiality of employee medical documentation and files.
  • Maintains knowledge of applicable leave and accommodation laws.
  • Provides support to the Payroll and Leave Specialist and HR Team members.
  • Responds to employee inquiries related to payroll and leave.

Requirements

  • Two years of human resource experience preferred.
  • One year of experience in payroll required.
  • High school diploma or equivalent preferred.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent communication skills.
  • Proficient with Microsoft Office Suite or related software.
  • Proficient with payroll software or ability to learn quickly.
  • Extensive knowledge of leave requirements and legal protections under FMLA and WC.

Nice-to-haves

  • SHRM-CP or SHRM-SCP preferred.
  • Completion of specialized certification or training on FMLA/leave administration a plus.
  • Proficiency in Microsoft PowerPoint, Excel, Word, and Adobe PDF.
