About the position

The Payroll Manager at Shifamed is responsible for overseeing the end-to-end payroll processing and expense report management. This role ensures timely and accurate payroll delivery while maintaining compliance with relevant regulations. The Payroll Manager will collaborate closely with HR and accounting teams to optimize payroll processes and address payroll-related inquiries, making a significant impact in a fast-paced environment.

Responsibilities

  • Process payroll for all employees, ensuring timely and accurate completion of payroll cycles.
  • Handle off-cycle payments, terminations, and special payroll situations as required.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws.
  • Review & audit payroll tax filings, W-2s, and other year-end reporting requirements.
  • Serve as a primary point of contact for employee payroll inquiries and provide prompt assistance.
  • Resolve payroll discrepancies and answer questions on tax withholding, deductions, and earnings.
  • Identify opportunities for enhancing payroll accuracy, efficiency, and compliance.
  • Collaborate with human resources and accounting teams to maintain efficient and integrated payroll operations.
  • Perform regular audits and reconciliations of payroll data to ensure accuracy.
  • Assist with internal and external payroll audits as needed (workers compensation, 401K, FSA, other benefits).
  • Maintain detailed records of payroll transactions, employee deductions, and tax payments.
  • Design, implement, and update policies and procedures for expense report submissions, approvals, and reimbursements.
  • Manage the expense reporting process, ensuring timely review, accuracy, and compliance with company policies.
  • Conduct regular audits of expense reports to ensure adherence to company guidelines, compliance, and cost controls.
  • Educate employees and managers on expense report best practices and policies.
  • Handle other various requests from employees, HR and Finance & Accounting as needed.

Requirements

  • Bachelor's degree in Finance, Accounting, Human Resources, or related field (or equivalent experience).
  • Certified Payroll Professional (CPP) or similar designation preferred.
  • 5+ years of hands-on payroll experience with extensive knowledge of payroll systems and processes.
  • In-depth knowledge of payroll software (preferably Paycor) and multi-state payroll regulations.
  • Strong analytical skills with a high level of accuracy and attention to detail.
  • Proficiency in Microsoft Excel and familiarity with other Office applications.
  • Ability to handle sensitive information with confidentiality and professionalism.
