About the position

The Payroll Manager will oversee payroll operations for a reputable company in Metairie, Louisiana. This role involves collaborating with management and team members to ensure accurate payroll processing, compliance with tax regulations, and effective communication with employees regarding payroll matters. The Payroll Manager will also be responsible for managing payroll software, generating reports, and maintaining payroll records while supporting the organization's strategic and operational goals.

Responsibilities

  • Collaborates effectively with management, team members, clients, and suppliers to support the organization's mission and daily objectives.
  • Assists in shaping department's strategic and operational plans, meeting all assigned deadlines and goals to uphold quality, service, and productivity standards.
  • Supports creation of the operating plan and budget, achieving established timelines and budget targets.
  • Serves as the primary contact with payroll software (PAYCOM) to ensure automated system functionality, tax filings, and reporting, and approves invoices to support timely payments.
  • Verifies payroll software government reports to confirm payroll accuracy, ensures bi-weekly tax withholdings are correctly applied, and coordinates software adjustments and payroll data submissions with appropriate controls as needed.
  • Shares payroll data with Human Resources, departmental managers, and the Finance team, producing HRIS system reports as requested for benefits and HR purposes.
  • Assists employees with setting up, correcting, or canceling direct deposit accounts as needed.
  • Generates month-end reports for the Finance Department and completes corporate bank reconciliations, including payroll accounts and FSA, resolving discrepancies promptly and providing relevant data for general ledger reporting.
  • Responds to garnishment-related inquiries and submits withholding payments to state and federal agencies in compliance with deadlines.
  • Ensures accurate data entry and management in the payroll system, confirming that all computations, withholdings, and deductions comply with company policies and governmental standards.
  • Provides payroll and 401(k) audit data as requested by auditors.
  • Stays current on payroll-related federal, state, and local tax regulations, engaging in professional development through workshops, publications, and networking.
  • Prepares termination-related calculations and handles manual check issuance when necessary.
  • Manages year-end payroll activities across multiple states.
  • Responds to employee payroll inquiries regarding deductions, pre-tax benefits, leave balances, garnishments, and other payroll matters in an accurate and courteous manner.
  • Handles external employment verification requests.
  • Manages employee deductions from initiation through reporting, including 401(k) contributions and loans, life insurance, and garnishments.
  • Maintains payroll records, including W-2s, W-4s, payroll registers, tax documents, etc., in compliance with government and internal controls.
  • Reviews and verifies W-2 forms to ensure accuracy, including reporting of benefits, moving expenses, and other relevant data.
  • Maintains, and securely disposes of, HR and payroll records in alignment with company record retention policies.

Requirements

  • High school diploma required; a college degree and payroll certification (CPP) are preferred.
  • 5 years of payroll processing experience required; 10 years preferred.
  • Experience with PAYCOM preferred.
  • Knowledgeable in payroll tax regulations across multiple states, with hands-on experience.
  • Focused on customer service and thrives in a collaborative team environment.
  • Skilled at managing confidential and sensitive information with discretion.
  • Dedicated to ongoing learning and professional development within the industry.
  • Strong decision-making abilities, with sound judgment.
