About the position

The Payroll Manager at Havtech LLC is responsible for ensuring accurate and timely payroll processing for employees across multiple companies. This role involves managing payroll calculations, maintaining payroll records, and ensuring compliance with tax and payroll regulations. The Payroll Manager will also assist employees with payroll-related inquiries and participate in HR functions as needed.

Responsibilities

  • Maintain the HRIS (ADP) with accurate employee information and process changes.
  • Manage coordination of weekly and bi-weekly payroll information from all departments for processing including timesheets, PTO requests, bonus/commissions, tuition reimbursement, and other adjustments as necessary.
  • Maintain accurate payroll folders in compliance with Federal and State Regulations.
  • Submit garnishment requests and agency tax notices using ADP.
  • Review and approve employee W-2 documents annually.
  • Complete all compliance auditing and reporting as needed.
  • Assist employees with questions regarding their pay or benefits.
  • Accurately calculate employee paychecks, including base pay, overtime, commissions, and deductions.
  • Process timecards and ensure accurate timekeeping.
  • Withhold federal, state, and local taxes, as well as other required deductions.
  • Maintain accurate payroll records and employee data.
  • Prepare and submit certified payroll reports to appropriate agencies.
  • Monitor and address any discrepancies or issues related to payroll reporting.
  • Active participant in employee events committee and community outreach.
  • Assist with daily HR department functions, reporting and projects as needed.
  • Maintain confidential employee information and documents.

Requirements

  • Bachelor's degree required.
  • 3+ years of Human Resources or relevant experience; or equivalent combination of education and/or experience.
  • Strong understanding of payroll processing principles and compliance requirements.
  • Proficiency with payroll software systems, experience with ADP Workforce Now strongly preferred.
  • Detailed knowledge of the Davis-Bacon Act/prevailing wages and other federal labor regulations related to certified payroll.
  • Experience with multi-state payroll processing.
  • Excellent analytical and problem-solving skills to identify and resolve payroll discrepancies.
  • Ability to work independently and meet deadlines.
  • Ability to handle sensitive and confidential information with discretion.
  • Must have PC experience in Windows environment, working knowledge of Microsoft Office (Word, Excel, and Outlook), Web-enabled applications, database software and willingness to adapt to new technologies.
  • Must possess excellent organizational skills and ability to prioritize multiple projects and tasks to meet competing deadlines in a fast-paced environment.
  • Demonstrated ability to communicate effectively and successfully take direction from multiple individuals.
  • Must possess strong interpersonal, communications and writing skills; ability to interact with employees and contacts at all levels and build relationships.
  • Ability to employ sound judgment.
  • Flexibility to take on additional responsibilities and projects.
