About the position

The Payroll Manager at Kings Bay YM-YWHA INC. plays a crucial role in overseeing the payroll processing and ensuring compliance with all payroll-related regulations. This position is responsible for supervising payroll submission and processing through ADP, which includes managing the payroll for a diverse workforce across multiple locations in Brooklyn. The Payroll Manager will communicate regularly with department managers to ensure accurate payroll processing and will issue annual memos to employees regarding tax withholding changes. Additionally, the role involves ensuring that new hire information is submitted to the New York State and processing various payroll earnings and deductions, including union, medical, dental, pension, and retirement contributions. The Payroll Manager will also resolve any payroll system issues with ADP and will be responsible for onboarding new employees, assigning time-off policies, and maintaining accurate time and attendance records. This position requires a detail-oriented individual with strong communication and organizational skills, as well as the ability to respond to payroll-related inquiries and maintain complete personnel records. The Payroll Manager will also assist with year-end audits and compliance, provide training for managers and new hires on ADP, and back up various accounting functions as needed. In addition to payroll responsibilities, the Payroll Manager will be involved in other accounting tasks, such as maintaining records for Human Resources, processing organizational payroll tax filing adjustments, and preparing data for annual reports. This full-time position is based in-person at the Sheepshead Bay office in Brooklyn, and the successful candidate will be expected to contribute to the agency's mission of building and strengthening communities inspired by Jewish values.

Responsibilities

  • Supervise payroll submission and processing through ADP.
  • Communicate with department managers regularly.
  • Issue annual memos to employees and update on required tax withholding changes.
  • Ensure that new hire information is submitted to NYS.
  • Process miscellaneous payroll earnings and deductions (union, medical, dental, pension, and Vanguard retirement).
  • Resolve any payroll system issues with the payroll processing company (ADP).
  • Onboarding, assigning Time off Policies, Holidays, etc in ADP.
  • Import bi-weekly payroll transactions and paychecks from ADP into the MIP accounting system.
  • Process union and other remittances monthly.
  • Respond to payroll-related inquiries.
  • Ensure all time and attendance records are up to date and accurately recorded.
  • Maintain complete personnel records, including terminations, department transfers, reviews, and documentation.
  • Process any required organizational payroll tax filing adjustments.
  • Process annual IRS forms 1094/1095.
  • Gather/update payroll data for annual EEO-1 report preparation.
  • Allocate invoices by location/department/program.
  • Assist with maintaining records for Human Resources and compliance.
  • Assist with year-end audit, 403(b) audit and city, state and federal audits.
  • Provide ADP training for Managers and new hires.
  • Back up to Accounts Payable processing.
  • Back up to wire transfers.
  • Backup to Accounts Receivable processing.
  • Book monthly accruals/corrections and adjust entries as needed.

Requirements

  • Bachelor's degree in Accounting or Finance.
  • 3+ years of Payroll processing experience with ADP.
  • Detail-oriented with strong communication (verbal and written) and organizational skills.
  • Strong knowledge of Microsoft (Excel, Word).
  • Approachable, easygoing and collaborative.
  • Problem-solving/analytical team player.
