About the position

The Payroll Manager at Massachusetts Bay Community College is responsible for overseeing the day-to-day payroll operations, ensuring accurate processing of payroll for all employees, and maintaining compliance with state and federal payroll laws. This role involves managing timekeeping systems, preparing payroll reconciliations, and assisting the Payroll Director with various payroll-related tasks. The Payroll Manager will also play a key role in training staff on payroll systems and addressing any discrepancies or issues that arise.

Responsibilities

  • Compile and prepare a bi-weekly balance for payroll review and approval.
  • Monitor entries to correct prior pay period discrepancies.
  • Prepare pay period reconciliation for State Funding report.
  • Assist with processing payments for adjunct professors and hourly paid instructors.
  • Help prepare bi-weekly payroll payment input schedule and organize supporting paperwork.
  • Serve on the SSTA implementation team for future users.
  • Delegate payroll accounts account numbers and data set-ups to HR/CMS, PeopleSoft, and MMARS.
  • Assist Payroll Director with cash funding analysis and MMARS system changes.
  • Assist in the preparation of biweekly payroll entry upload of payment charges.
  • Oversee and delegate miscellaneous input to Payroll Accountants.
  • Responsible for Foundation donations via payroll deduction.
  • Research errors and discrepancies and communicate findings to the Payroll Director.
  • Work with departments to resolve errors related to payroll systems.
  • Provide comprehensive training on the SSTA system to employees and managers.
  • Respond to questions and requests from staff and faculty.
  • Assist in ensuring confidential documents are secured and maintained properly.
  • Perform monthly reconciliation of payroll reports and submit to the finance office.
  • Assist with unemployment inquiries and retirement distributions.
  • Serve as primary backup and support for the Payroll Director.

Requirements

  • Bachelor's degree in a related field.
  • Minimum of 5-8 years of progressive experience in payroll, finance, business management, or related fields.
  • Knowledge of state and federal payroll laws.
  • Extensive working knowledge of computer applications for maintaining records and generating reports.
  • Keen attention to detail and ability to follow through on assigned projects.
  • Ability to work effectively with a diverse faculty, staff, and student body.
  • Detail-oriented with excellent analytical skills.
  • Ability to maintain a high level of confidentiality.
