About the position

As Payroll Manager, you will manage the processing of Fairmont Breakers' bi-weekly payroll in a timely and accurate manner. The key outcome for the Payroll Manager is to ensure that all colleagues receive accurate checks reflecting their worked hours and complying with all applicable legislation, FH&R policies as well as any other signed agreements. You will be responsible for overseeing all aspects of the weekly payroll, ensuring that statutory reporting is completed accurately and on time. This role requires a strong understanding of California legislation and Fairmont's financial policies and procedures. You will also be tasked with preparing for month-end processing of payroll-related reports and ensuring compliance with Wage & Hour regulations. In addition to payroll processing, you will manage the correspondence with the State regarding garnishment requests and ensure that all garnishments are deducted and submitted in a timely manner. You will prepare and reconcile payroll-related tax remittances to ensure compliance with all legislation. Your role will also involve preparing daily labor reports, managing the reconciliation of tip reports, and verifying time cards to ensure appropriate approvals have been granted. You will prepare the Payroll Executive Summary Report bi-weekly and manage the online approval process for direct deposit and payroll reports. The Payroll Manager will also handle employee queries and offer resolution in a timely manner, ensuring that all Employee Action Forms are verified for accuracy. You will be responsible for managing the weekly check distribution process and typing manual payroll checks as needed. This position requires strong attention to detail, excellent administrative and interpersonal skills, and the ability to work effectively with minimal supervision. You will also need to be effective in handling problems in the workplace, including anticipating, preventing, identifying, and solving issues as necessary.

Responsibilities

  • Manage the processing of Fairmont Breakers' bi-weekly payroll in a timely and accurate manner.
  • Ensure all colleagues receive accurate checks reflecting their worked hours.
  • Comply with all applicable legislation, FH&R policies, and signed agreements.
  • Manage all aspects of the weekly payroll.
  • Responsible for all statutory reporting.
  • Ensure Talent & Culture information is processed and incorporated into the Payroll.
  • Track and calculate vacation entitlements and accruals according to hotel policy.
  • Track and calculate legal holiday entitlements and accruals according to collective agreements.
  • Ensure compliance with all Wage & Hour regulations.
  • Prepare for month-end processing of payroll-related reports.
  • Ensure timely deduction and submission of garnishments.
  • Manage correspondence with the State regarding garnishment requests.
  • Prepare and reconcile payroll-related tax remittances for compliance.
  • Familiarize with Fairmont Standards related to financial controls and operational procedures.
  • Prepare daily labor reports and manage reconciliation of tip reports.
  • Verify time cards weekly to ensure appropriate approvals are granted.
  • Prepare batch total and balance payroll (Pay period report).
  • Prepare bi-weekly Payroll Executive Summary Report.
  • Manage online approval process for direct deposit and payroll reports.
  • Prepare overtime reports and verify Employee Action Forms for accuracy.
  • Complete required deductions and check requests, including dues, legal deductions, pension, and 401K contributions.
  • Manage weekly check distribution process and type manual payroll checks as needed.
  • Champion labor management system and assist/coordinate weekly labor meetings.
  • Prepare all balance sheet reconciliations pertaining to payroll.
  • Handle out-of-state registration for new employees and manage employee queries.

Requirements

  • College diploma required.
  • Education in Finance and/or Payroll program is preferred.
  • Previous work experience in California is required.
  • Knowledge of California legislation is required.
  • Experience in a hotel or related field preferred.
  • Minimum 3 years of experience in payroll system management and administration capacity, hotel experience preferred.
  • Working knowledge of Microsoft Office software, with advanced knowledge required for Payroll software (including Ceridian Dayforce or similar system).
  • Ability to convey information and ideas clearly.
  • Attention to detail is a must.
  • Ability to evaluate and select among alternative courses of action quickly and accurately.
  • Excellent administrative, interpersonal, organization, written and verbal communication skills.
  • Ability to work effectively with minimum supervision.
  • Must work well in stressful, high-pressure situations.
  • Effective problem-solving skills in the workplace.
