About the position

The Payroll Manager at Fast Lab Technologies LLC is responsible for overseeing the entire payroll process, ensuring that all payroll data is accurately collected, computed, and documented. This role requires a thorough understanding of payroll regulations and compliance, as the Payroll Manager will ensure that all records and processes adhere to both company policies and legal requirements. The position involves coordinating closely with the Human Resources and accounting departments to verify employee data and accounts, ensuring that payroll payments are processed accurately and on time. In addition to managing payroll operations, the Payroll Manager will handle all state and federal tax accounts for the company, including the setup of new states. Conducting internal audits to ensure compliance with payroll activities is a critical part of this role. The Payroll Manager will maintain accurate account balances and detailed records for auditing purposes, manage and resolve any payroll-related issues, and prepare reports and financial statements as needed. The Payroll Manager will also be responsible for hiring, training, developing, and managing the payroll team. This includes reviewing timekeeping records for accuracy, processing semi-monthly and weekly payroll for both U.S. and international employees and contractors, and ensuring that taxes for each state are correctly set up in the Gusto payroll system. The role also involves distributing end-of-year tax documents, entering new hires into Gusto, removing terminated employees and contractors, issuing final paychecks in accordance with state and federal laws, auditing payroll journals for accuracy, and integrating the timekeeping system for data transfers to Gusto. Other duties may be assigned as needed, reflecting the dynamic nature of the role.

Responsibilities

  • Direct the collection, computation, and documentation of payroll data.
  • Oversee and review payroll payments and account reconciliations.
  • Ensure records and processes comply with company and legal regulations.
  • Coordinate with HR and accounting to verify employee data and accounts.
  • Handle all state and federal tax accounts for the company, including the set-up of new states.
  • Conduct internal audits to ensure compliance with all payroll activities.
  • Maintain accurate account balances and detailed records for auditing.
  • Manage and resolve any issues related to payroll.
  • Prepare reports and financial statements.
  • Hire, train, develop, and manage the payroll team.
  • Review Hubstaff Timekeeping for activity, missing punches, errors, and gathering needed reports for processing payroll.
  • Process semi-monthly and weekly payroll for U.S. and International employees and contractors.
  • Ensure taxes for each state are set-up correctly in Gusto payroll.
  • Distribute end of year tax documents.
  • Enter new hires into Gusto.
  • Remove terminated employees and contractors from Gusto.
  • Issue final paychecks in accordance with state and federal laws.
  • Audit payroll journals for accuracy.
  • Integrate timekeeping system for data transfers to Gusto.
  • Other duties may be assigned related to the role.

Requirements

  • Associates Degree in business administration, accounting, or finance required.
  • At least 8 years of experience in payroll processing for 100+ employees on a national level.
  • At least 5 years of experience in a payroll supervisory role.
  • At least 2 years of experience processing international payroll.
  • Minimum of 2 years of experience using Gusto Payroll.
  • Minimum of 5 years of experience setting up state tax accounts.
  • Minimum of 2 years of experience using Hubstaff Timekeeping.
  • Strong knowledge of national payroll laws and relevant legal regulations.
  • Excellent communication skills, both verbal and written.
  • Strong math and analytical skills.
  • Strong proficiency in Google Sheets.
