About the position

The Payroll Operations Specialist at Amarillo College is responsible for providing complex payroll support and delivering payroll solutions. This role involves reviewing time data, utilizing payroll software, and producing reports to ensure accurate and timely payroll processing for staff. The specialist will collaborate with Human Resources to resolve discrepancies and maintain compliance with payroll regulations, while also serving as a key point of contact for employee inquiries.

Responsibilities

  • Process and manage hourly time entry for Amarillo College staff, ensuring accuracy and compliance.
  • Communicate and collaborate with Human Resources to resolve payroll discrepancies and implement necessary adjustments efficiently.
  • Prepare, process, and distribute payroll files according to bi-weekly and monthly payroll schedules, ensuring timely and accurate payments.
  • Generate and review bi-weekly, monthly, and annual payroll reports for internal and external stakeholders, maintaining data integrity.
  • Administer the processing of employee tax withholdings and benefit contributions, ensuring compliance with applicable tax laws and benefit policies.
  • Perform monthly reconciliations of payroll transactions against general ledger entries, identifying and resolving any discrepancies.
  • Serve as a key point of contact for employee payroll inquiries, addressing and resolving issues in a timely and professional manner.
  • Collect, compile, and prepare payroll data for quarterly and annual audits, ensuring adherence to auditing standards and internal policies.

Requirements

  • High School Diploma required; Associate's Degree in Human Resources, Business, or related field preferred.
  • Two (2) or more years of experience in payroll required; experience in payroll processing in a Higher Education institution preferred.
  • Strong written and verbal communication abilities.
  • Excellent organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.
  • Ability to maintain confidentiality and discretion when handling sensitive payroll and employee information.
  • Skilled in Microsoft Word, Excel (including knowledge of Pivot Tables and VLOOKUP functions), PowerPoint, and Outlook.

Nice-to-haves

  • Experience in payroll processing in a Higher Education institution.
