About the position

Insperity is seeking a Payroll Project Manager for MidMarket Implementation, responsible for overseeing the client payroll implementation process. This role involves interfacing with clients, internal departments, and service teams to ensure a seamless transition to an optimal payroll experience. The Payroll Project Manager will identify opportunities for improvement in existing payroll processes and provide project support for Middle Market solution development and client retention strategies. This includes developing tracking mechanisms, project plans, and post-implementation analysis tools to ensure smooth servicing of new and existing Middle Market clients. The position also entails leading internal teams on cross-functional projects and mentoring new colleagues on best practices for development and execution of various internal and client-facing opportunities. The Payroll Project Manager will onboard new clients with various company structures across multiple states and localities onto Insperity payroll, ensuring accurate and timely implementation. They will develop and implement innovative client onboarding methods and tools, consulting with client executives and key decision-makers regarding their current and future needs. The role requires advising clients on the most appropriate systems to implement and implementation strategies, utilizing exemplary diplomacy and listening skills to translate specified requirements to teams. Additionally, the Payroll Project Manager will identify payroll service solutions to streamline or enhance payroll service delivery to clients, making recommendations for improvements to processes and policies while ensuring compliance with applicable laws and regulations. They will schedule and lead regular meetings to oversee client-related projects and coordinate tool selection processes as needed. The role also involves collaborating with Field Payroll Operations and Corporate personnel to develop executable, realistic, and results-oriented service improvements, supporting process and audit efforts to ensure integrity and accountability for Sarbanes-Oxley compliance. Maintaining outstanding customer service standards to ensure excellent client satisfaction and retention is a key aspect of this position.

Responsibilities

  • Onboards new clients with various company structures and in multiple states/localities onto Insperity payroll and provides related services to ensure accurate and timely implementation.
  • Develops and implements innovative client onboarding methods and tools, facilitating the most effective and efficient path towards achieving desired results.
  • Consults client executives and key decision makers regarding their current and future needs. Advises clients regarding most appropriate systems to implement and implementation strategies.
  • Identifies payroll service solutions to streamline or enhance the payroll service delivery to clients and makes recommendations for improvements to processes and policies while maintaining compliance with laws and regulations applicable to payroll processing and administration.
  • Schedules and leads regular meetings to ensure appropriate oversight of client related projects and use of internal and external resources.
  • Coordinates tool selection process as needed, including use of third-party resources and strategic applications.
  • Assists COE's and departments in identifying areas for process improvement. Applies a systematic approach to recommend or implement solutions that focus on and deliver business results, leading cross-functional teams as needed.
  • Collaborates with Field Payroll Operations and Corporate personnel on current payroll processes to determine the vision and systems needed to develop executable, realistic and results-oriented service improvements.
  • Develops process improvement plans, drives implementation efforts, and monitors effectiveness.
  • Supports process and audit efforts to ensure integrity and accountability for Sarbanes-Oxley compliance.
  • Engages with clients regarding business financial operations and reporting requirements related to payroll and general ledger from an owner's/payroll contact/on-site supervisor perspective.
  • Supports the time and attendance integration process with the Time and Attendance division and Payroll Service Operations, as needed.
  • Adheres to the project schedules, solves day-to-day data/customer issues and answers questions related to specific implementation project execution. Escalates complex issues and follows through resolution, ensuring appropriate communication to all impacted parties.
  • Maintains outstanding customer service standards to ensure excellent client satisfaction and retention. Works as a liaison to build strong working relationships with client service providers.

Requirements

  • High School Diploma or equivalent is required. Bachelor's Degree in a related field is preferred.
  • Five to seven years of related experience is required. Knowledge of PEO industry or human resources outsourcing is preferred.
  • PHR/SPHR/PMP/CPP Certification is preferred.
  • Ability to apply a systematic method to problem solving. Analyze data and recommend services and strategies that support positive business results.
  • Advanced knowledge of payroll practices, procedures, and payroll tax applications. This includes advanced payroll processing and well-rounded knowledge of federal and state laws, including FLSA.
  • Knowledgeable of employee insurance benefits, worker's compensation insurance, state and federal payday laws, employee benefit packages.
  • Demonstrated knowledge and understanding of all types of payroll reporting such as: multi-level job costing, department/location, certified payroll report, HUD reports and all generic computer generated reports that are industry specific.
  • Excellent judgment and resourcefulness in evaluating situations with the ability to make decisions quickly and accurately.
  • Familiar and/or proficient in a variety of Human Resources Information Systems solutions.
  • Skills in the areas of project and service management, persuasion, influence, negotiation, leadership, conflict resolution, decision making.
  • Success and experience in execution and deployment of service strategy, including the measurement of client results.
  • Customer service experience in a team environment.
  • Effective communication skills - written and verbal.
  • Proficient use of Microsoft Office programs and demonstrated ability to learn other application programs as needed.
  • Able to manage multiple projects at one time.
  • Ability to lead and develop projects in a cross-functional team environment.
  • Ability to mentor and train newly appointed personnel.
  • Ability to effectively communicate new procedures and processes to team members and to other company personnel, including the expected impact to the client.
