About the position

The Payroll Services Assistant at Cuyahoga Community College plays a crucial role in the Accounting and Financial Operations department, primarily responsible for processing payrolls and managing third-party payment transactions. This position requires a high level of attention to detail and a commitment to customer satisfaction, as the assistant will handle inquiries related to payroll processing and ensure accurate and timely payroll submissions. The role involves maintaining and auditing time and leave reporting through the College's website, inputting and balancing biweekly payrolls, and preparing necessary payroll deductions and reporting, including taxes and remittance of withholdings to third parties. In addition to payroll processing, the Payroll Services Assistant will assist in developing procedures, reporting, and technology applications as directed, utilizing various College systems. The assistant will also be responsible for filing institution-generated documents and securing their access through the Banner Document Management Suite (BDMS) for record retention. A key aspect of this role is to maintain effective internal controls in compliance with the Red Flags Rule and to participate in new employee orientation sessions, providing an overview of Payroll Services. The position requires a proactive approach to anticipating and meeting customer needs, ensuring that all responses to payroll inquiries are delivered in a timely and professional manner. The assistant will also perform other duties as assigned, contributing to the overall efficiency and effectiveness of the Payroll Services team.

Responsibilities

  • Process payrolls and third-party payment transactions.
  • Maintain and audit time and leave reporting via the College website.
  • Input, audit, and balance biweekly payrolls prior to sending files to the bank.
  • Provide verbal or written responses to all payroll processing questions in a timely manner.
  • Prepare required payroll deductions and reporting, including taxes and remittance of withholding to third parties.
  • Assist with the development of procedures, reporting, processes, and technology applications as directed.
  • File institution-generated documents and secure their access through BDMS for record retention.
  • Maintain effective Red Flags Rule internal controls.
  • Attend new employee orientation sessions and present an overview of Payroll Services.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Minimum of three years of payroll experience.
  • Demonstrated experience in a role requiring diverse problem-solving methods in various situations.
  • Possess basic accounting skills.
  • Strong organizational and time-management skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to foster a team environment and work collaboratively.
  • Ability to research and analyze issues and develop solutions.

  • Excellent customer service skills and proven ability to develop and sustain productive customer relationships.
  • Basic knowledge of fundamental payroll and state retirement systems' concepts, practices, and procedures.
  • Demonstrated basic proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Access or equivalent software.
  • Ability to confidentially and discreetly handle sensitive subject matters.
  • Ability to collaborate on major projects.
  • Ability to develop and maintain relationships with key contacts to enhance workflow and quality.
  • Ability to effectively accept direction from multiple levels of the College in various departments.
  • Ability to effectively complete work assignments independently.
  • Sensitivity to appropriately respond to the needs of a diverse population.

Nice-to-haves

  • Certified Payroll Professional (CPP) certification.
  • Associate's degree in Finance, Accounting, Business, or related field.
  • Payroll experience in an academic environment or multi-state organization.
  • Experience in processing payroll transactions to general ledger.
  • Demonstrated proficient experience with Ellucian Systems and Computer Technology Banner system or equivalent system.
