About the position

The Payroll Specialist 1 position at the New York State Comptroller's Office involves reviewing, auditing, and processing payroll transactions. The role is essential for maintaining payroll accuracy and ensuring compliance with established procedures and laws. The specialist will work closely with payroll officers, vendors, and other stakeholders to facilitate payroll processes and address inquiries, while also identifying areas for improvement in business practices.

Responsibilities

  • Review, audit and process payroll transactions.
  • Maintain the Payroll Deduction mailbox.
  • Process various transactions such as Bad Address and Bad Name queries, requests for deduction refunds, and other general deduction changes.
  • Troubleshoot customer inquiries and direct emails to appropriate sections.
  • Upload and/or record transactions in databases and scan and upload documents to FileNet.
  • Work directly with deduction vendors to ensure accurate and timely exchange of electronic files and payments.
  • Review and audit Statewide Financial System (SFS) transactions as needed.
  • Assist payroll officers and vendors with completing transactions.
  • Communicate changes to stakeholders regarding forms, scheduling, or processes.
  • Follow up with stakeholders on incomplete or missing forms.
  • Respond to phone, email, mail, and fax requests as necessary.
  • Communicate regularly with supervisors and managers to ensure payroll integrity.
  • Identify weaknesses in business practices and provide recommendations for corrective action.
  • Assist with documentation of business processes and procedures.
  • Assist with training Payroll colleagues as needed.
  • Maintain Payroll funds using various reports and queries.
  • Provide support with data entry, analysis, and written documentation as needed.

Requirements

  • Two years of full-time business or human resources office experience in accounts payable, accounts receivable, bookkeeping, payroll transactions, travel expense reports, personnel, benefits, or time and attendance transactions.
  • Thirty semester credit hours of college-level study AND one year of full-time business or human resources experience in relevant fields.
  • Sixty semester credit hours of college-level study.
