About the position

We are looking for an enthusiastic and motivated individual to join our team as a Payroll Specialist at Hudson Bay Insulation Co. This role is crucial in administering the organization's payroll functions, ensuring that pay is processed weekly, on time, accurately, and in compliance with government regulations. The Payroll Specialist will be responsible for processing payroll for both union field and non-union office/warehouse staff on a weekly basis, ensuring timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions. In addition to payroll processing, the Payroll Specialist will prepare and submit monthly union reports and will be responsible for the weekly certified payroll reporting process to ensure company compliance. This position also involves processing various statistical payroll-related reports as needed and ensuring accurate and timely processing of payroll updates, including setting up union rates. The Payroll Specialist will complete and submit prevailing wage intents and affidavits, and prepare and maintain accurate records and reports of payroll transactions. Compliance with federal, state, and local payroll, wage, and hour laws and best practices is essential, and the Payroll Specialist will facilitate audits by providing records and documentation to auditors. The ideal candidate will be a team player with a positive attitude and strong interpersonal skills. They should be highly detail-oriented, self-motivated, and resourceful, with strong organizational and time management skills. Excellent verbal and written communication skills are also required, along with proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.). This position operates in an on-site, drug-free workplace, office setting, and involves routine use of standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

Responsibilities

  • Process union field and non-union office/warehouse staff payroll on a weekly basis.
  • Ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Prepare and submit monthly union reports.
  • Responsible for the weekly certified payroll reporting process to ensure company compliance.
  • Process various statistical payroll related reports as needed.
  • Ensure accurate and timely processing of payroll updates including setting up union rates.

Requirements

  • 2+ years of previous payroll experience required.
  • Bachelor's degree or Associate degree in Accounting or related field preferred.
  • Certified Payroll Professional certification preferred.
  • Strong communication skills.
  • Excellent time management skills.
  • Competent with Microsoft Office Suite (Word, Excel, Outlook, etc.).

Nice-to-haves

  • 3-5 years of previous union payroll experience in the construction industry preferred.
