About the position

Meltwater is seeking a Payroll Specialist (AMER) to join its Global People Team, focusing on processing payrolls for the US and Canada. This role involves collecting, processing, and reviewing payroll data in collaboration with regional HR teams and payroll vendors. The Payroll Specialist will ensure accurate and timely payment of employee salaries, manage payroll compliance, and support various payroll-related projects, all while fostering an inclusive and growth-oriented work environment.

Responsibilities

  • Facilitating the accurate and timely payment of employee salaries and One-Time Payments such as commissions and bonuses.
  • Ensuring payroll processes and controls are operated correctly and consulting HRBPs when needed.
  • Processing Restricted Stock Units (RSUs) for local payroll in the US and Canada.
  • Handling external reporting requirements for payrolls (bi-weekly and semi-monthly).
  • Ensuring payroll compliance and supporting special projects in the payroll space.
  • Uploading payroll information into payroll systems and managing employee payroll inquiries via Jira.
  • Coordinating with external payroll partners and managing payroll audits from authorities as required.
  • Reconciling payroll records to financial statements and coordinating with external auditors during year-end audits.
  • Closing each tax year and delivering all legislative forms related to payroll and benefits.
  • Supporting 401k, Workers Compensation, and other statutory audits as required.
  • Responding to information requests from internal and external clients with HRBP involvement when needed.
  • Developing and maintaining relationships with key stakeholders including Regional HR, Benefits, Accounting, HRIS, and Commission teams.
  • Functioning as a strategic partner and contributing to process improvements for key system implementations and upgrades.
  • Providing payroll advice to the business in conjunction with HRBPs.
  • Offering ad-hoc support for payroll-related initiatives and projects.

Requirements

  • At least 5 years' experience in processing medium-sized payrolls in the US and Canada, familiar with payroll/individual tax regulations.
  • Previous experience with Workday is preferred.
  • Experience in multi-state payroll processing.
  • Process and system-oriented with attention to detail.
  • Advanced Excel knowledge and abilities.
  • Previous experience using Jira is desirable.
  • Effective time management and prioritization skills to handle multiple tasks.
  • Experience in projects to move to a single payroll platform for a country/region is desired.
  • Self-driven and willing to roll up sleeves to get things done.
  • Experience working in global/multinational companies and teams.
  • Fluent in English; other languages are an advantage but not mandatory.
  • Bachelor's Degree preferably in finance or accounting, or completed professional education in accounting.
  • Relevant Payroll Qualification CIPP/CPP Certification is desirable but not essential.
  • Experience working in payroll service providers or SaaS industry is a plus.
  • Payroll exposure to countries in EMEA, APAC, and/or LATAM is preferred but not essential.

Nice-to-haves

  • Experience in projects to move to a single payroll platform for a country/region is desired.
  • Fluency in additional languages is a plus.
  • Relevant Payroll Qualification CIPP/CPP Certification is desirable but not essential.

  • Base Salary of $80,000 - $85,000 USD per year before bonuses, with 10% quarterly bonuses subject to terms.
