About the position

The Senior Payroll Specialist at Ultra Maritime is responsible for the preparation and processing of payroll for approximately 700 USA-based employees using ADP Workforce Now. This role ensures the integrity of payroll data, compliance with government regulations, and high levels of customer service in resolving payroll-related issues. The position involves handling various payroll tasks, supporting HRIS maintenance, and participating in audits, while also making recommendations for process improvements.

Responsibilities

  • Prepare and process assigned weekly and bi-weekly payrolls for approximately 700 USA-based employees.
  • Ensure the integrity of all payroll data in accordance with company policies and government regulations.
  • Import labor files timely into the payroll system.
  • Maintain high customer service levels in the evaluation and resolution of payroll-related issues.
  • Manage post payroll reports and transactions, including tax remittance and 401K transmission files.
  • Handle urgent payroll matters, including special payroll runs and manual check calculations.
  • Support the setup and maintenance of HRIS and ADP Workforce Now system.
  • Develop Ad Hoc Reports as needed.
  • Oversee year-end operational close including reconciliation, distribution of W2, and tax filing compliance.
  • Participate in audits of workers' compensation and tax filings as needed.
  • Make recommendations for improvements to payroll processes and policies.
  • Assist the Payroll Manager with problem-solving and special projects.
  • Train new Payroll Administrators as needed.
  • Perform general administrative duties such as filing and photocopying.

Requirements

  • 5+ years of multi-state payroll experience, preferably in a shared service environment.
  • Eligibility to obtain required security clearance for the role.

Nice-to-haves

  • Bachelor's degree in a related field is preferred.
  • Experience in US Benefit administration.
  • Experience in tax amendments and quarterly/annual tax filings.
  • Experience in HRIS and ERPs, preferably with ADP Workforce Now, Workday, and IFS.
  • Strong understanding of applicable Federal, State, and local payroll and related tax laws.
  • Strong knowledge of HR Payroll systems including enhancements and implementations.
  • Excellent interpersonal and customer service skills.
  • Strong organizational skills.
  • Advanced skills in Microsoft Excel.
