About the position

The Payroll Specialist (Bilingual) will manage all financial and payroll information, ensuring compliance with federal and state laws. This role involves processing payroll, handling accounts receivable and payable, and maintaining accurate financial records. The specialist will also prepare reports, resolve discrepancies, and provide support to senior management regarding financial matters.

Responsibilities

  • Handle all financial and payroll information including paying bills and collecting debts.
  • Run payroll and submit all government forms, sales tax payments, and payroll deductions.
  • Ensure compliance with federal and state payroll processing laws.
  • Assist in payroll accounting, transactions, reporting, and stop payments.
  • Review payroll reports and timesheets for correctness before processing payroll transactions.
  • Maintain payroll information by collecting, calculating, and entering data.
  • Update payroll records with changes in exemptions, insurance coverage, and job title transfers.
  • Prepare reports summarizing earnings, taxes, deductions, and leave.
  • Calculate payroll liabilities including federal and state taxes and employer contributions.
  • Resolve payroll discrepancies by collecting and analyzing information.
  • Provide payroll information by answering questions and requests.
  • Maintain payroll operations by following policies and procedures and reporting needed changes.
  • Keep payroll operations confidential and secure.
  • Process accounts receivable/payable in a timely manner.
  • Compile and sort documents substantiating business transactions.
  • Reconcile bank statements and resolve discrepancies.
  • Assist in ensuring compliance with state and federal grant requirements.
  • Provide training on policies and procedures as required.

Requirements

  • Bachelor's degree in Accounting, Business Administration, Finance, or related field.
  • 2 to 4 years of experience in bookkeeping, bank reconciliation, and payroll administration.
  • 2 years of full-time professional experience in accounts payable and receivable, general ledger, and payroll reporting.
  • Fluency in English and Spanish.
  • Strong knowledge of generally accepted accounting principles (GAAP).
  • Proficiency in accounting software and Microsoft Excel/Access.
  • Strong written and oral communication skills.
  • Strong organizational skills and ability to handle multiple tasks.

Nice-to-haves

  • Experience managing finance for a nonprofit or business with multiple funding sources.
  • Experience in payroll tax reporting and compliance.
