About the position

The Skirball Cultural Center is seeking a dynamic, self-motivated, detail-oriented, and flexible team player for the position of Payroll Specialist. This role is crucial in overseeing and directing payroll procedures, ensuring the accuracy of payroll data, and managing various payroll-related changes. The Payroll Specialist will report directly to the Chief Financial Officer and will work closely with the Accounts Payable Accountant to accomplish biweekly payroll responsibilities. This position requires collaboration with Finance and HR teams, managers, and employees to address payroll questions and provide timely updates. Additionally, the Payroll Specialist must stay informed about changes to payroll tax laws and wage and hour-related regulations to ensure compliance. In this role, the Payroll Specialist will input and update employee payroll data related to new employment, terminations, status changes, and benefits into the Human Resources Information System (HRIS) in a timely and accurate manner. This includes managing payroll and timekeeping systems, ensuring compliance with relevant laws and policies, and developing training sessions for employees. The Payroll Specialist will also work with ADP representatives to organize online training sessions to enhance payroll practices. Furthermore, the position involves ensuring appropriate controls are in place, periodically testing and reevaluating these controls, and recommending process improvements. The Payroll Specialist will be responsible for resolving payroll issues, cross-training Finance staff to back up payroll functions, and collaborating with the Finance team on account reconciliations related to payroll. Running payroll reports for the HR and Finance teams, identifying key reports in ADP, and developing those that are lacking will also be part of the responsibilities. The role includes working with auditors and other vendors on reporting or data collection related to payroll and assisting in the preparation of financial statements related to payroll data, as well as monthly and year-end financial reporting and analysis.

Responsibilities

  • Input/update employee payroll data relative to new employment, terminations, status changes, and benefits into the Human Resources Information System in a timely/accurate manner.
  • Manage payroll and timekeeping systems.
  • Ensure compliance with relevant laws and policies.
  • Collaborate with HR and Finance teams on matters related to payroll including compliance with relevant laws and policies.
  • Develop trainings and periodic refreshers for employees; work with ADP representatives to organize ADP online trainings for more robust and best practices needs.
  • Ensure appropriate controls are in place and periodically tested and reevaluated; recommend process improvements and controls.
  • Work with employees and managers to resolve payroll issues and answer questions related to payroll.
  • Resolve payroll errors in a timely manner.
  • Cross-train Finance staff to back up payroll.
  • Work with the Finance team on account reconciliations related to payroll.
  • Run payroll reports for the HR and Finance teams; identify key reports in ADP, develop those that lack and are part of best practices; organizing naming conventions; share with and train appropriate members of the team accordingly.
  • Work with auditors and other vendors on any reporting or data collection related to payroll and other financial reporting.
  • Prepare financial statements related to payroll data; assist in monthly and year-end financial reporting and analysis.

Requirements

  • 3+ years of experience managing payroll.
  • Personal computer skills including Word, Excel, Outlook, and PowerPoint as well as database programs and/or specific HRIS/payroll experience (ADP Workforce Now experience strongly preferred).
  • Ability to establish and maintain complex and confidential files, records, and official documents.
  • Ability to maintain absolute confidentiality about employee information.
  • Effective oral and written communication skills.
  • Demonstrated ability to work well with a diverse group of individuals.
