About the position

The Payroll & Administrative Support Specialist at Four Sisters Inns is responsible for coordinating and processing payroll for approximately 300 employees across 22 locations. This role ensures compliance with federal and California wage regulations, manages benefits administration, and supports overall office operations to maintain a professional environment. The position requires strong organizational skills and the ability to handle various administrative tasks while providing support to senior management and hotel managers.

Responsibilities

  • Processes payroll via OnePoint for approximately 300 employees every other week.
  • Audits and reconciles payroll data and reports, journals payroll into the accounting system.
  • Facilitates preparation of manual checks and enters garnishments as needed.
  • Produces and processes payroll reports and tracks PTO and sick leave benefits.
  • Assists with recruiting, including vetting and scheduling interviews.
  • Supports HR Generalist with onboarding new hires and verifies new-hire documentation.
  • Establishes and maintains physical and electronic employment records.
  • Prepares and maintains records for controlling personnel transactions and reporting personnel data.
  • Administers employee health insurance and 401k benefit programs, monitoring eligibility and enrolling employees.
  • Prepares and distributes end-of-year W2's and 1095C's to employees.
  • Reconciles payroll trust bank account monthly and distributes payroll fees to hotels.
  • Serves as lead on phone systems and professionally greets visitors and clients.
  • Maintains the general appearance of the office and kitchen, performing errands as needed.

Requirements

  • Bachelor's degree in Human Resources, Business Management, or Accounting, or three plus years of related experience.
  • Strong proficiency in MS Office Suite including Word, Excel, and PowerPoint.
  • Strong customer service skills and previous hotel/motel experience preferred.
  • Ability to read, analyze, and interpret technical procedures and governmental regulations.
  • Ability to write reports and business correspondence effectively.

Nice-to-haves

  • Experience with payroll processing software, preferably OnePoint.
  • Knowledge of ACA regulations and compliance.
