About the position

Asure Software is seeking a Payroll Specialist I to join our team in Gardendale, AL. This full-time position is integral to our operations team, where you will serve as the expert resource for a dedicated group of clients. Your role will involve managing payroll processing and ensuring compliance with all applicable laws and regulations. You will be responsible for establishing and maintaining employee payroll records, entering and maintaining employee-related information in the payroll system, and administering payrolls for a portfolio of customers. This includes processing various payroll scenarios such as weekly, semi-monthly, and custom calendars, as well as hourly, salary, and commission-based payrolls across multiple states. In this position, you will produce preliminary payroll reports, verify time and attendance records, and ensure accuracy in wage computation and pay adjustments. Building and maintaining positive relationships with clients is crucial, as you will be their go-to source for payroll processing support and best-practice recommendations. You will also respond to customer inquiries, assist with month-end and year-end processes, and provide training sessions on system functions and regulatory changes. Additionally, you will play a key role in mentoring and developing other payroll specialists, helping them grow into more complex client needs and responsibilities. Your expertise will be essential in interpreting payroll publications and problem-solving issues related to payroll and tax law inquiries. You will also be responsible for keeping up-to-date with the features and functionality of the payroll processing system, as well as changes in wage and tax laws. This role requires a proactive approach to problem-solving and a commitment to delivering exceptional service to our clients.

Responsibilities

  • Establish and maintain employee payroll records.
  • Enter and maintain employee-related information in the payroll system.
  • Administer all payrolls within an assigned portfolio of customers.
  • Process various payroll scenarios including weekly, semi-monthly, and custom calendar payrolls.
  • Produce preliminary payroll reports and verify accuracy against time sheets and payroll data.
  • Verify time and attendance records, wage computation, hours worked, and pay adjustments.
  • Develop and maintain positive relationships with clients, serving as a trusted source for payroll processing support.
  • Respond to customer inquiries via telephone and email, ensuring compliance with Service Level Agreements.
  • Conduct quality control and auditing to ensure accuracy and low error rates.
  • Assist with month-end, quarter-end, and year-end processes, including ACA activities and W2 verifications.
  • Provide training and re-education sessions for customers on system functions and regulatory changes.
  • Assist in managing updates to customer leave plans and ancillary products.
  • Proactively problem-solve payroll and tax law inquiries as needed.
  • Mentor and cross-train payroll specialists on complex client needs and responsibilities.
  • Interpret payroll publications to resolve payroll and tax law issues.
  • Maintain and update the Payroll procedures manual to reflect functionality changes.

Requirements

  • Bachelor's degree in Accounting, Finance, or Business preferred; Associate's degree required.
  • 5+ years of automated payroll experience or CPP certification.
  • Previous payroll processing experience in a client-facing environment.
  • Direct experience with various SaaS payroll systems and ability to learn new ones.
  • Strong project management skills to navigate multiple tasks effectively.
  • Excellent organizational skills and attention to detail.
  • Exceptional customer service skills with a focus on delivering quality service.
  • Polished verbal and written communication skills.

Nice-to-haves

  • Experience in a Service Bureau Organization (SBO).
  • Knowledge of complex payroll scenarios and regulations.
  • Familiarity with Time Off Accrual (TOA) and General Ledger setup.
