About the position

The Payroll Specialist I will be an integral member of the Payroll team, responsible for ensuring the accurate processing and recording of the company's payroll. This role is crucial in providing timely and accurate financial information and involves participation in daily data entry payroll processing. The Payroll Specialist I will assist in processing bi-weekly payroll and will work closely with the Payroll Supervisor and Payroll Manager to ensure that employees are compensated accurately and on time, in compliance with company policies as well as federal and state regulations. In this role, the Payroll Specialist I will oversee employee data related to timesheets and payroll earnings, including salary adjustments and deductions. The position will also involve assisting with W-2s and other year-end activities and adjustments. It is essential for the Payroll Specialist to ensure that processes are performed correctly within the payroll system, track payments, and notify the applicable agency when an employee terminates employment, including handling garnishments, child support, and levies. The specialist will review correspondence with agencies and states for verification of upcoming garnishments and levies, process retro corrections, and manage involuntary termination checks. Additionally, the role includes handling returned and outstanding paychecks, performing regular audits of the payroll register, and running custom payroll reports upon completion. The Payroll Specialist I will also provide backup support for the Payroll team as needed and will be responsible for answering a high volume of employee inquiries via email and phone regarding their paychecks, timesheets, and system access. Updating employee Federal, State, and Local taxes as requested by employees is also part of the job responsibilities. Other duties may be assigned as necessary, making this a dynamic and engaging role within the payroll department.

Responsibilities

  • Assist in processing bi-weekly payroll.
  • Assist the Payroll Supervisor and Payroll Manager in ensuring that employees are paid accurately, timely and in accordance with company policies, federal and state regulations.
  • Oversee employee data as it relates to timesheets, payroll earnings, including salary adjustments, deductions, etc.
  • Assist with W-2's, other year end activities and adjustments.
  • Ensure process is performed correctly in system, track payments, notify applicable agency when employee terminates employment (Garnishments, Child Supports, Levies, etc.)
  • Review correspondence with agencies/states for verification of upcoming garnishments, levies, etc.
  • Process retro corrections and involuntary termination checks.
  • Handle returned and outstanding paychecks.
  • Perform regular audits of the payroll register as well as other standard payroll processes.
  • Help distribute daily mail.
  • Run and organize custom payroll reports upon payroll completion.
  • Provide backup for Payroll team as needed.
  • Answer a high volume of employee emails/phone calls with questions about their paycheck, timesheet, system access, etc.
  • Updates employee Federal/State/Local taxes as properly requested by employees.
  • Other duties as assigned.

Requirements

  • Minimum of 1 year of experience in payroll or similar work.
  • Experience with UKG Payroll preferred.
  • Ability to audit data and make corrections as necessary.
  • Excellent written and verbal communication skills.
  • Proficiency across the Microsoft Office Suite.
  • Stays current on payroll systems and time keeping practices.

Nice-to-haves

  • 4 Year / Bachelor's Degree in Accounting, Business, Finance or a related field preferred but not required.
