About the position

The Payroll Specialist II position at Columbia EDP Center Inc. is designed for individuals with 2+ years of payroll processing experience. The role focuses on supporting small business owners by managing payroll for over 500 employees and 100 clients, ensuring compliance with local, state, and federal regulations. The specialist will be responsible for collecting, auditing, and analyzing payroll data, resolving discrepancies, and maintaining client relationships. This position emphasizes a commitment to service, continuous learning, and the ability to adapt to various payroll scenarios.

Responsibilities

  • Follow appropriate workflows and procedures for the payroll department.
  • Collect, audit and analyze payroll and timesheet data.
  • Handle high volume of correspondence by telephone, email and fax while maintaining professionalism.
  • Process payroll for 500+ employees and 100+ clients in accordance with regulations and guidelines.
  • Research and resolve payroll discrepancies in a timely manner.
  • Contact clients to obtain necessary information and resolve issues.
  • Train clients on Columbia EDP policies and processes.
  • Update and maintain federal and state W4 information and employee direct deposit information.
  • Process severance, bonuses, employee benefits and various deductions.
  • Enter new hires into timekeeping and import timekeeping reports into payroll.
  • Enter multiple work comp codes per payroll as necessary.
  • Enter shift differential pay as needed.
  • Ensure Time Off Accrual is calculating correctly and make adjustments as necessary.
  • Process and review all garnishments, levies and child support orders.
  • Understand differences between types of pensions and pension calculations.
  • Develop, adjust, and generate ad hoc payroll reports as needed.
  • Participate in year-end payroll activities.
  • Ensure compliance with standard internal control procedures.
  • Update job knowledge through educational opportunities and professional organizations.
  • Enhance department and organization by accepting ownership for re-engineering processes.

Requirements

  • Fundamentals of Payroll Certification (FPC) required within one year or performance FPC level work.
  • A high school diploma or equivalent.
  • A minimum of 2 to 5 years of payroll processing experience, preferably in a multi-client, multi-state environment.
  • General understanding of payroll and payroll tax laws required.
  • MS Office and data entry experience preferred.
  • Proven experience in customer service and problem resolution.
  • Excellent written and oral communication skills.
  • Excellent organizational, planning, and prioritization skills.
  • Excellent interpersonal skills.
