About the position

The Payroll Specialist II position is a critical role within our organization, responsible for ensuring the accurate and timely processing of payroll for our clients. This position reports directly to the Operations Manager and is accountable for delivering high-quality service to clients. The Payroll Specialist will engage with clients daily to gather necessary payroll data, including salary adjustments, special payments, tax allocations, and employee deductions. This role requires a proactive approach to client communication, ensuring that all payroll-related data is accurately entered and processed according to established schedules. In addition to data entry, the Payroll Specialist will maintain a strong focus on client retention by providing exceptional customer service. This includes resolving client inquiries and issues related to payroll production and tax matters. The specialist will also stay informed about changes in payroll processing systems and wage and tax laws, liaising with federal, state, and local tax agencies as needed. Maintaining organized client files and participating in branch training sessions are also essential functions of this role. The ideal candidate will thrive in a fast-paced environment, demonstrating strong attention to detail and problem-solving skills. This position is full-time, with a standard 40-hour work week, and is located in Pensacola, FL. The Payroll Specialist II will play a vital role in fostering positive relationships with clients and ensuring the smooth operation of payroll services.

Responsibilities

  • Maintain a base of payroll clients relevant to size and complexity on all products.
  • Contact clients daily to obtain payroll data including salary adjustments, special payments, tax allocations, and employee deductions.
  • Accurately key all payroll-related data necessary to process and meet appointment schedules.
  • Maintain a high rate of client retention through quality service.
  • Keep abreast of the payroll processing system and changes in wage and tax laws, and correspond with federal, state, and local tax agencies on behalf of clients in problem situations.
  • Maintain client files and research and resolve client/system problems.
  • Establish and maintain a positive working relationship with clients, agencies, and co-workers to promote a quality service image.
  • Participate in branch training sessions and perform other duties as assigned.

Requirements

  • High School diploma or equivalent; AA preferred.
  • Three (3) years of experience with a proven facility in data entry, customer service, and problem-solving.
  • Ability to work in a fast-paced environment while maintaining a high level of focus and attention to detail.
  • Knowledge of MS Office (Word, Excel, Outlook).

Nice-to-haves

  • Experience in accounting (1 year preferred).
  • Experience in payroll (2 years required).
