About the position

The Payroll Specialist II position at TalentBurst, Inc. is a part-time role that offers the flexibility to work remotely or from the office in Philadelphia, PA, or Research Triangle Park, NC. This role is designed for a detail-oriented individual who will play a crucial part in the success of the payroll team. The primary responsibility of the Payroll Specialist will be to process the US Bi-Weekly payroll using Workday, ensuring that all funding and tax-related tasks are completed accurately and on time. The ideal candidate will possess strong organizational skills, the ability to prioritize tasks effectively, and excellent communication skills to liaise with employees regarding payroll inquiries. In addition to payroll processing, the Payroll Specialist will assist in documenting the detailed payroll processes and other global payroll functions. This includes managing the funding reconciliation process, handling 401k and HSA file funding, and performing invoice reconciliations. The role requires a thorough audit of employee records to ensure the accuracy of payroll deductions and tax-related issues, particularly during significant employee events such as new hires or changes in employment status. Compliance with federal, state, and local tax regulations is paramount, and the Payroll Specialist will be responsible for reconciling Workday data with filed quarterly and annual tax returns. The position demands a commitment to confidentiality and adherence to company policies and procedures. The Payroll Specialist will also collaborate with the Global Payroll team and other members of the People & Culture team to ensure that payroll processes are accurately documented and maintained. This role is essential for maintaining the integrity of payroll operations and ensuring that all payroll-related tasks are executed with precision and care.

Responsibilities

  • Process all aspects of payroll for US locations, including funding reconciliation, 401k file funding, HSA file funding, and invoice reconciliation.
  • Serve as a liaison to employees to answer pay and/or tax questions.
  • Audit employee records to ensure accuracy of payroll, deductions, 401(k), and tax-related issues based on employee events such as new hires and changes.
  • Ensure compliance with federal, state, and local income and unemployment tax regulations with the payroll provider and all authoritative bodies.
  • Reconcile Workday data to filed quarterly/annual tax returns.
  • Complete the year-end process and issue annual tax statements timely and accurately, including reviewing quarterly/annual wage and tax reports for accuracy and correcting employee wages and/or taxes as needed.
  • Partner with the Global Payroll team and other People & Culture team members to document payroll processes accurately.
  • Maintain confidentiality and non-disclosure of employee and company information and data.
  • Adhere to all company policies and procedures.

Requirements

  • 2-3 years of experience processing multi-state payroll required.
  • Workday payroll experience is preferred.
  • Bachelor's degree preferred.
  • Proficiency using Workday and Microsoft Office Suite, including advanced skills in Excel preferred.
  • Strong customer focus with the ability to cultivate collaboration and establish trust, respect, and confidence.
  • Maintain high ethical standards and act with uncompromising integrity.
  • Ability to communicate effectively within all levels of the organization.
  • Extremely detail-oriented and committed to accuracy.
