About the position

The Payroll Specialist is responsible for managing payroll functions within the Linn-Mar Community School District, ensuring accurate and timely disbursement of wages while providing excellent customer service. This long-term temporary position involves processing payroll data, overseeing time record reconciliation, preparing payroll-related documents, and ensuring compliance with various regulations. The role requires effective communication with internal and external parties and collaboration with Human Resources to align systems and procedures.

Responsibilities

  • Process and update payroll data for all District employees and maintain accurate payroll files.
  • Oversee reconciliation of time records to ensure accurate payroll distribution.
  • Prepare and coordinate payroll-related documents such as payroll registers and W-2 controls.
  • Ensure payroll systems are set up and updated to reflect current employee data.
  • Research and resolve discrepancies in payroll information and documentation.
  • Prepare governmental reports and payments including W-2s and federal/state withholdings.
  • Communicate with various agencies to ensure accurate payroll deductions and garnishments.
  • Respond to payroll inquiries from internal and external parties.
  • Serve as the District liaison for payroll inquiries and issues.
  • Manage the timekeeping system and train employees on its use.
  • Prepare and submit 403b payments and census data as required.
  • Complete salary surveys and recommend payroll process improvements.
  • Collaborate with HR to reconcile data sharing and status changes.
  • Prepare management reports on a regular basis.

Requirements

  • High School Diploma required; B.A. in Accounting, HR, business, or related field preferred.
  • Previous experience in payroll administration or related experience is preferred.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality in daily operations.
  • Strong interpersonal skills to handle sensitive situations.
  • Working knowledge of union and District rules regarding employee wages and benefits.
  • Proficiency in computer applications such as MS Word, Excel, Access, and PowerPoint.
  • Attention to detail in composing and proofing materials.

Nice-to-haves
