About the position

The Payroll Specialist is responsible for managing payroll functions to ensure accurate and timely disbursement of wages for all District employees. This role emphasizes customer service and requires maintaining up-to-date payroll information, overseeing time record reconciliation, and preparing various payroll-related documents. The specialist will also communicate with internal and external parties regarding payroll inquiries and ensure compliance with governmental reporting requirements.

Responsibilities

  • Process and update payroll data for all District employees and maintain accurate payroll files.
  • Oversee reconciliation of time records to ensure accurate payroll distribution.
  • Prepare and coordinate payroll-related documents such as payroll registers and W-2 controls.
  • Ensure payroll systems are set up and updated to reflect current employee data.
  • Research and resolve discrepancies in payroll information and documentation.
  • Prepare Frontline reports and follow up on discrepancies for accurate payroll uploads.
  • Prepare and submit required governmental reports and payments within established timelines.
  • Communicate with various agencies to ensure accurate processing of payroll deductions and garnishments.
  • Respond to payroll inquiries from internal and external parties.
  • Serve as the District liaison for pay inquiries and resolve employee issues.
  • Maintain and update the timekeeping system and train employees on its use.
  • Manage payroll functions within School ERP Pro and Frontline systems.
  • Prepare and submit 403b payments and census data as required.
  • Complete salary surveys and recommend payroll process improvements.
  • Collaborate with Human Resources on data sharing and status changes.
  • Prepare relevant management reports and complete assigned projects.

Requirements

  • High School Diploma required; B.A. in Accounting, HR, business, or related field preferred.
  • Previous experience in payroll administration or related experience is preferred.
  • Ability to maintain confidentiality in daily operations.
  • Excellent communication skills, both written and verbal.
  • Ability to create, review, and implement policies and procedures.
  • High level of interpersonal skills to handle sensitive situations.
  • Working knowledge of union and District rules regarding wages and benefits.
  • Proficiency in various computer software applications (MS Word, Excel, Access, PowerPoint).
  • Attention to detail in composing, typing, and proofing materials.
