About the position

The Payroll Specialist is responsible for managing payroll functions to ensure accurate and timely disbursement of wages for all District employees. This role emphasizes customer service and requires maintaining up-to-date payroll information, overseeing time record reconciliation, and preparing various payroll-related documents. The position also involves communication with internal and external parties regarding payroll inquiries and issues, as well as collaboration with Human Resources to align systems and procedures.

Responsibilities

  • Process and update payroll data for all District employees.
  • Oversee reconciliation of time records to ensure accurate payroll distribution.
  • Prepare and coordinate payroll-related documents such as payroll registers and W-2 controls.
  • Ensure payroll systems are set up and updated to reflect current employee data.
  • Verify payroll information aligns with contracts and work agreements.
  • Research and resolve discrepancies in payroll information.
  • Prepare governmental reports and payments within established timelines.
  • Communicate with various agencies to ensure accurate payroll processing.
  • Respond to payroll inquiries from internal and external parties.
  • Serve as the District liaison for pay inquiries and issues.
  • Maintain and update the timekeeping system and train employees on its use.
  • Manage payroll functions within the School ERP Pro and Frontline systems.
  • Prepare and submit 403b payments and census data as required.
  • Complete salary surveys and recommend payroll process improvements.
  • Collaborate with HR to reconcile data sharing and status changes.
  • Prepare relevant management reports and complete assigned projects.

Requirements

  • High School Diploma or GED required.
  • Bachelor's degree in Accounting or related field preferred.
  • Previous experience in payroll administration or related experience.
  • Proficiency in Microsoft Office applications (Word, Excel, Access, PowerPoint).
  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience with payroll systems and timekeeping software.

Nice-to-haves

  • Prior payroll experience preferred.
  • Experience with union and District rules regarding employee wages and benefits.
